Job summary

Arrow McLaren in Indianapolis is seeking a Facilities Coordinator to maintain and operate our racing center facilities, with hands-on maintenance and oversight of vendors, ensuring a safe, clean, and efficient work environment.

You will manage third-party providers for landscaping, cleaning, and grounds, perform basic repairs and inspections, and help reduce costs while upholding high facility standards.

Purpose of the Role:

As the Facilities Coordinator, you will be responsible for the maintenance, operation, and upkeep of all building facilities and surrounding grounds. This is a hands-on role requiring the ability to perform routine maintenance, troubleshoot facility-related issues, and coordinate repairs to ensure a safe, clean, and efficient working environment.

The Facilities Coordinator will manage and coordinate third-party vendors responsible for specialized services including landscaping, cleaning, property upkeep, and seasonal grounds maintenance. In addition to vendor management, this role is expected to utilize maintenance knowledge and technical skills to address day-to-day facility needs, perform minor repairs, conduct facility inspections, and identify opportunities to improve facility operations and reduce costs.

Principal Accountabilities:
  • Oversee overall shop and facility maintenance, including coordination of vendors supporting trash removal, restroom, and kitchen upkeep.
  • Conduct routine inspections of buildings, grounds, and facility equipment to identify maintenance needs, safety concerns, and opportunities for improvement.
  • Perform basic facility repairs and maintenance where appropriate, including minor plumbing, electrical, mechanical, carpentry, and general building maintenance tasks.
  • Troubleshoot facility-related issues and determine effective repair solutions using internal resources or external vendors as appropriate.
  • Manage third-party service providers for floor care, painting, and general cleaning to ensure quality standards are met.
  • Coordinate and oversee vendors performing specialized repairs, including plumbing, electrical, HVAC, and other technical services.
  • Manage vendor relationships and procurement processes, including obtaining quotes, submitting purchase orders, and ordering supplies and services.
  • Maintain inventories of maintenance supplies, consumables, and facility equipment required for daily operations.
  • Establish and maintain a best-in-class facility cleanliness and organization program through vendor direction and performance management.
  • Serve as the primary on-site safety lead, overseeing compliance, refining health and safety procedures, and maintaining First Responder readiness.
  • Oversee janitorial service providers, ensuring performance aligns with contract expectations and company standards.

Job requirements

Knowledge, Skills and Experience:
  • Team player, while also taking the initiative to make decisions and work with minimal supervision.
  • Self-starter, able to identify requirements independently, then make proposals for solutions.
  • Hands-on maintenance experience in a commercial, industrial, manufacturing, motorsports, or similar environment preferred.
  • Working knowledge of building systems, including HVAC, plumbing, electrical, mechanical, and general facility infrastructure.
  • Ability to safely use maintenance tools and equipment and perform routine facility repairs and preventive maintenance activities.
  • Experience with reducing vendor costs by utilizing internal capabilities and resources to maintain facility operations.
  • Ability to diagnose problems, troubleshoot facility issues, and develop practical solutions.
  • Ability to work under pressure with tight deadlines and changing priorities.
  • Strong communication and interpersonal skills.
  • Excellent problem-solving skills and analytical approach, with attention to detail.
  • Aptitude to learn from others and share knowledge.
