Job description

OVERVIEW:
The Facilities Coordinator is responsible for the general maintenance of IMAN properties, assets, and equipment, as well as providing support to the department. This role involves conducting inspections, performing preventive and corrective maintenance, coordinating with vendors, and ensuring compliance with safety policies and procedures.


KEY RESPONSIBILITIES:

  • Performs facility maintenance, winter/summer grounds maintenance, repairs and moving furniture/equipment as needed.
  • Conducts inspections, and performs preventive, corrective and general maintenance on equipment, buildings, and systems.
  • Ensures the status of work orders are up to date using the work order (UpKeep) system.
  • Assists with planning, directing, coordinating, and reviewing the work of vendors.
  • Coordinates schedules, vehicles, and equipment for staff and vendor projects.
  • Utilizes IMAN’s policy and procedures, Federal, State, and local legislation for equipment/tool safety and inventory control.
  • Assists in scheduling and overseeing work performed by subcontractors.
  • Maintains appropriate inventory of supplies needed.
  • Performs general maintenance/construction repairs including carpentry, electrical, plumbing and HVAC. Refers more complex maintenance/construction needs to the supervisor.
  • Attends Planning, Operations and Facilities meetings.
  • Coordinates setting up for events, break down and returning space to status quo.
  • Works with appropriate staff and consultants to ensure campus buildings are safe.
  • Works on property upkeep and maintenance for all of organization properties.
  • Enforces and takes scheduled and detailed training on all company safety policies and procedures.
  • Drives company vehicles to assist with general duties and requests.
  • Other responsibilities as requested.

REQUIRED QUALIFICATIONS:

  • Minimum 3 years related work experience.
  • High school diploma or GED.
  • Ability to interface with staff, public and clients in a professional manner.
  • Proficiency in computer use and Microsoft Office and UpKeep.
  • Experience working with maintenance tools and equipment.
  • Must have a valid United States driver's license.
  • Experience in construction or property management.
  • Ability to work in multiple teams simultaneously.

PREFERRED QUALIFICATIONS:

  • Certification or license in HVAC, Plumbing, Electronic or Carpentry.
  • Associate Degree or relevant work experience.
  • Experience working in multicultural, multiracial, multi-religious environments.

PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT:

  • Ability to lift up to 50 lbs.
  • Ability to climb, balance, kneel, crouch, crawl and reach.
  • Ability to use construction and maintenance equipment.
  • Ability to work in fluctuating temperatures.
  • Flexibility to work some evenings, weekends and early mornings on occasion.

GENERAL SKILLS AND COMPETENCIES:

  • Operational Management: Overseeing the daily operations of the facility, ensuring smooth functioning of all systems and processes, and managing routine maintenance tasks to maintain a safe and efficient working environment.
  • Project Management: Planning, executing, and overseeing facility improvement projects, ensuring timely completion, adherence to budget, and meeting the quality standards required for each project.
  • Vendor Coordination: Managing relationships with external contractors, service providers, and vendors, ensuring effective communication, coordination, and quality control throughout all stages of service delivery.
  • Budgeting and Cost Control: Developing and managing budgets for facility operations and improvement projects, monitoring expenses, and ensuring that cost control measures are implemented without compromising quality.
  • Compliance and Safety: Ensuring the facility complies with all relevant safety regulations, building codes, and environmental standards, and regularly conducting inspections to identify potential risks and prevent violations.
  • Communication Skills: Facilitating clear and effective communication with staff, tenants, contractors, and external stakeholders, and ensuring that all parties are well-informed about facility updates, issues, and changes.
  • Problem-Solving: Identifying operational issues, diagnosing facility-related problems, and implementing effective solutions to resolve challenges promptly and minimize downtime or disruption.
  • Emergency Preparedness: Developing and maintaining emergency response plans for various scenarios, organizing drills and training for staff and tenants, and ensuring that the facility is equipped with necessary safety features.
  • Technical Knowledge: Possessing a strong understanding of building systems such as HVAC, electrical, plumbing, and fire safety systems, and overseeing their maintenance to ensure optimal performance and minimal downtime.
  • Customer Service: Providing high-level customer service to building occupants and stakeholders, addressing concerns or complaints promptly, and maintaining a positive, professional, and service-oriented attitude at all times.
