Responsibilities

  • Provide reception services for Industry and Technology Center.
  • Serve as back-up for the Facility Use and Events Director.
  • Coordinate communication with campus departments affected by events.
  • Assist with client meetings and walkthroughs for Facilities Use.
  • Organize and maintain a yearly events/calendar schedule.
  • Set up and tear down events in collaboration with General Services.
  • Manage event-related documentation, invoicing, and work tickets.
  • Create flyers/signage for events.

Job description

Position Summary

Provide support to the Facility Use and Events Director and General Services Director by completing a variety of complex office tasks in a highly detailed, well-organized and timely manner. This includes, but is not limited to scheduling, reporting, event set-up, and operations tasks.


Key Performance Indicators


  1. Assist with purchase orders, payment requests, and budget processes.

  2. Assist with the preparation and submittal of regulatory reports.

  3. Assist Facilities Use and Events Director to increase revenue, meeting established annual sales goals.

  4. Improve customer service experience for business and industry

  5. Effective processing of documentation related to facilities use, requisitions, and other relevant documents (i.e. invoicing and work tickets).


Essential Functions


  1. Provide reception services for Industry and Technology Center.

  2. Serve as the back up for the Facility Use and Events Director.

  3. Communicate closely with other departments on campus that may be impacted by events, including General Services, Work Force Development, Public Safety, Food Service, IT and others.

  4. Assist, as needed, with Facilities Use client meetings and walk-throughs.

  5. Member of the Community Events Committee.

  6. Assist to organize and maintain a schedule of events/calendar for the year.

  7. Serve as secondary on ITC email account.

  8. Assist to organize, set up, and tear down of all planned events, collaborating with General Services.

  9. Serve as Linen Attendant - collecting, laundering, folding, organizing tablecloths and other fabrics used for events.

  10. Create flyers/signage for events.

  11. Knowledge to assist with Avigilon Door System software.

  12. Assist with maintenance management system, including asset management documentation (FMX), corrective and preventive maintenance process flows, and maintenance management system reporting.

  13. Manage annual EPA lease.

  14. Maintain purchasing, receiving, inventory management, and construction document records.

  15. Manage DOT logs, track mileage, maintain compliance records, and maintain communication with drivers and auditors.

  16. Manage the GovDeals.Net account.

  17. Manage the Operations Weekly Update email.

  18. Manage televisions/monitors, Kirby's Cupboard/Cooler, and office Bottle Cooler.

  19. Perform other duties as required by the Facilities Use and Events Director/General Services Director.

Experience

Education:
Associate's degree in office skills, office management, or closely related field.
Work Experience:
At least one year of full-time highly skilled directly related work experience in addition to the above criteria.
Industry Knowledge:
Broad background involving experience in an educational, general industry, and familiarity with the local community.
Proficiency in the use of the office equipment.


Work Environment and Physical Requirements

Working in a professional office and educational environment this position requires sitting, standing, stooping, kneeling, reaching, walking, pushing, pulling, lifting, grasping, talking, seeing, hearing and repetitive motion. Requires knowledge of and adherence to safety guidelines when utilizing technical lab space in the ITC.


*This position requires some early mornings, late evening and weekend work when hosting events.
