Now for the exciting news! AKS Engineering & Forestry (AKS) is seeking a fulltime Facilities and Fleet Coordinator in our Tualatin, Oregon office. This hands-on role is ideal for someone who enjoys variety in their workday, takes pride in keeping spaces running smoothly, and is eager to support both office operations and field activities. From maintaining our facilities and vehicles to supporting events and coordinating logistics, this position is essential to keeping our internal operations efficient and organized.
What You’ll Do
- Oversee the company’s vehicle and boat fleet maintenance program by planning and coordinating inspections, routine maintenance, and repairs.
- Collaborate with fleet drivers to manage vehicle logistics, track assignments, and collect monthly odometer readings, ensuring accurate documentation in Asset Tiger.
- Forecast and plan future fleet needs in partnership with crew leads to ensure operational readiness.
- Manage fleet vendor relationships, including account setup, bid/quote coordination, invoice processing, and approval workflows.
- Administer the project management platform (Monday.com) by creating and tracking tickets for routine maintenance tasks, checklists, and special projects.
- Prepare, clean, and set up workstations for new hires or relocating employees, in coordination with HR and IT.
- Maintain inventory and restock office supplies, snacks, beverages, and utensils for conference rooms, meetings, and events.
- Perform office errands and deliveries in a timely and efficient manner.
- Phone system – Backup for lunch and scheduled vacations.
- Assist the event team with setup, execution, and cleanup of company events, ensuring a smooth and organized experience.
Who You Are
- Comfortable lifting and moving items up to 50 pounds, standing for long periods, bending, and working in both indoor and outdoor settings.
- Capable of safely operating full-size vehicles, including Ford F-250 and F-350 trucks.
- A self-starter who takes initiative and sees tasks through to completion.
- Strong communication skills, both written and verbal.
- A natural problem-solver with a practical, solution-focused mindset.
- Experience using project management tools and related applications; good with MS365 products.
- Detail-oriented and organized.
- Flexible availability, including occasional evenings and weekends. Willing to come in at 6:00 am daily.
- Must have valid OR or WA driver's license and a clean driving record; must be insurable to drive an AKS vehicle.
Nice to Have
- A background in customer service.
- Proficient in operating a multi-line phone system in a fast-paced environment.
- Proven experience in fleet management, including coordination and scheduling.
- Physically capable of assisting with maintenance tasks as required.
