Position Summary

  • Title: Facilities Administrator
  • Department: Reports to Director of Facilities
  • Classification: Full time, salary contract
  • Schedule: Monday through Friday, 8 a.m. to 4:30 p.m., plus scheduled events that require attendance and flexibility for on-call and emergency duties.

Overview

St. Pius X High School is seeking a reliable and dedicated Facilities Administrator to join the facilities team to provide comprehensive administrative and operational support. This role is responsible for organizing departmental workflows, coordinating maintenance and repair activities, maintain accurate records, and ensuring effective communication with internal staff and external vendors. The ideal candidate must be detail-oriented, professional, flexible and able to balance multiple responsibilities in a fast-paced school environment.

Responsibilities

  • Serve as the primary point contact for the facilities department by answering phones, responding to emails and greeting visitors.
  • Maintain accurate, up-to-date records and organized digital and physical filing systems for inspections, permits, maintenance logs, vendor contracts and compliance documentation.
  • Manage facilities calendar and schedule meetings, appointments and internal department activities.
  • Process and track work orders, purchase orders, invoices and other departmental paperwork.
  • Assist with budget tracking and reporting for facilities-related expenditures.
  • Record and distribute meeting minutes for departmental and committee meetings as requested.
  • Communicate updates, notices and schedules to staff and vendors in a timely and professional manner with the approval of Director.
  • Oversee facility rental agreements, from scheduling to paperwork and coordination with vendor under guidance of Director.
  • Schedule and coordinate routine maintenance, inspections and repair work with internal staff and external service providers.
  • Track and manage school keys, fobs and access control logs.
  • Conduct routine inventory of supplies and assist with ordering of materials and equipment.
  • Coordinate facilities-related logistics for campus events including setup, breakdown and equipment support.
  • Support emergency preparedness efforts such as emergency drills and supply tracking, among others.
  • Assist in updating the Emergency Response Guide and distributing to appropriate parties.
  • Perform other duties as deemed necessary by school leadership.
Requirements

Qualifications and Experience

  • Commitment to embrace the Catholic Mission and Dominican Charism at St. Pius X High School.
  • Completion of Safe Haven environment training.
  • High school diploma or GED; associate degree or coursework in administration or facilities management preferred.
  • Experience in administrative, secretarial, facilities support or equivalent of at least two years.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and maintenance or work order systems.
  • Familiarity with school safety procedures, building systems and compliance standards is preferred.
  • Open to flexible scheduling and on-call duties during nonstandard hours as needed.
  • Understands the dynamic working environment of performing duties in office and around campus.
  • Comfortable with physical demands that require occasional lifting of supplies and equipment up to 25 lbs.
