Job summary

Forward Air Corp. is seeking an Export Coordinator – Ocean to manage international ocean export operations, bookings, and documentation from our Dallas site.

You will coordinate shipments, track milestones, and ensure timely vessel departures while collaborating with shippers, customers, and internal teams. The role requires strong organizational and communication skills, knowledge of export documentation, and proficiency with CargoWise or similar TMS.

Qualifications

  • Education: HS diploma or GED; bachelor's preferred in logistics, supply chain, business, or related field.
  • Experience in logistics, transportation, or related operations roles.
  • Basic understanding of ocean freight, containerized shipping, and export docs.
  • Experience with CargoWise or similar TMS/forwarding tools.
  • Strong organizational and communication skills.
  • Excellent time-management and attention to detail.
  • Ability to follow defined procedures and meet deadlines.
  • Demonstrated discretion and confidentiality with sensitive information.
  • Proficient with Windows, Microsoft Office, and web conferencing tools.

Responsibilities

  • Coordinate ocean export shipments including bookings and vessel cut-offs.
  • Prepare export docs: bills of lading, shipping instructions, commercial docs.
  • Enter/update shipment details in CargoWise and other TMS.
  • Track sailing schedules and milestones to support on-time departures.
  • Communicate with steamship lines, NVOCCs, drayage, warehouses, and overseas agents.
  • Adhere to export compliance, carrier rules, and internal procedures.
  • Identify doc errors, cut-off risks, or delays and escalate.
  • Assist with rate entry, charge validation, and billing accuracy.
  • Respond to customer inquiries on status and docs.
  • Maintain organized shipment files and records.
  • Assist with workload during peak shipping periods.
  • All other duties as assigned.

Job Description

The Export Coordinator - Ocean supports international ocean export operations by coordinating shipment activities and ensuring accurate execution of export processes. They assist with bookings, documentation, and shipment tracking while following established procedures and timelines. They work closely with shipping lines, customers, and internal teams to support vessel departures and documentation accuracy.

Responsibilities

  • Assist with coordinating ocean export shipments, including bookings, container movements, and vessel cut‑offs.
  • Prepare and process export documentation such as bills of lading, shipping instructions, and commercial documents.
  • Enter and update shipment details accurately in CargoWise and other transportation management systems.
  • Track sailing schedules and shipment milestones to support on‑time departures.
  • Communicate with steamship lines, NVOCCs, drayage providers, warehouses, and overseas agents.
  • Follow export compliance requirements, carrier rules, and internal operating procedures.
  • Identify documentation errors, cut‑off risks, or shipment delays and elevate appropriately.
  • Support rate entry, charge validation, and billing accuracy.
  • Respond to customer inquiries related to shipment status and documentation.
  • Maintain organized shipment files and records.
  • Assist with workload coverage during peak shipping periods.
  • All other duties as assigned to meet evolving business needs.

Qualifications

  • Education: High School Diploma or GED equivalent required; undergraduate degree in logistics, supply chain, business, or a related field preferred.
  • Prior experience in logistics, transportation, or related operations roles.
  • Basic understanding of ocean freight, containerized shipping, and export documentation preferred.
  • Experience with CargoWise or similar TMS/forwarding tools or demonstrated ability to learn systems quickly.
  • Strong organizational and communication skills.
  • Strong attention to detail and time‑management skills.
  • Ability to follow defined procedures and meet deadlines.
  • Demonstrated discretion and confidentiality in handling and protecting sensitive information.
  • Technical: Proficient with common office technologies, including Windows PCs, Microsoft O365 (Outlook, Word, Excel, PowerPoint, etc.) and web conferencing (Teams, Zoom, Webex, etc.).
  • Environment: Comfort commuting to/from and working in a 100% on‑site setting (listed in this posting), with travel for related meetings/events.
