Job description

Sarway Group | New York City | Full-time | In person

Sarway Group is seeking a resourceful, highly organized Executive & Personal Assistant to work directly with the founder of a New York City luxury real estate business.

You will take ownership of the coordination, preparation, and follow-through surrounding the founder's business and selected personal commitments. By handling routine matters, anticipating needs, and seeing work through, you will help create more time for client relationships, negotiations, and business development.

Working closely with the founder and the operations, research, creative, and brokerage teams, you will develop a clear understanding of the business and become a trusted point of coordination. The role offers direct exposure to luxury real estate, client relationships, and business operations, with opportunities for greater responsibility as trust and capability develop.

Key Responsibilities
  • Calendar and priorities: Manage the founder's calendar, appointments, and meeting logistics. Anticipate scheduling conflicts, allow realistic preparation and travel time, and protect time for important client and business priorities.
  • Communication and incoming requests: Organize incoming requests, prepare drafts, and handle approved routine correspondence. Resolve matters within your responsibility and bring decisions requiring the founder's involvement with clear context and a recommended next step.
  • Meeting and client preparation: Gather relevant information, coordinate materials, and ensure the founder is prepared for client conversations, negotiations, and meetings. Anticipate what will be needed and obtain it in advance.
  • Commitments and follow-through: Translate conversations and decisions into clear next steps. Complete the work within your scope, coordinate handoffs with the appropriate team members, and follow through until commitments are resolved.
  • Team and project coordination: Work closely with the operations lead, agents, and external partners to obtain information, coordinate selected projects, and address routine obstacles. Keep the founder informed of meaningful developments and issues requiring attention.
  • Business administration: Keep relevant documents, contacts, and task records organized. Manage selected administrative projects from start to finish and identify practical ways to simplify recurring work.
  • Travel and personal logistics: Coordinate business and personal travel, selected appointments, reservations, errands, and vendor arrangements with discretion and within an agreed scope.
What we are looking for

We are looking for someone dependable, proactive, and comfortable taking responsibility for both everyday details and unfamiliar challenges.

The right candidate will bring:

  • Strong organization and follow-through: The ability to manage competing priorities, maintain accurate details, and carry work through to completion.
  • Sound judgment and discretion: An understanding of when to act independently, when to coordinate with others, and when a decision requires the founder's attention.
  • Clear, professional communication: Strong writing skills and confidence communicating with clients, colleagues, vendors, and senior professionals.
  • Initiative and adaptability: A willingness to ask thoughtful questions, learn how the business works, respond constructively to feedback, and solve practical problems.
  • Confidence with technology: Proficiency in Google Workspace and spreadsheets, comfort with project-management tools, and the ability to use AI thoughtfully while verifying information and protecting confidentiality.

Relevant experience may include executive support, operations, hospitality, project coordination, or another role requiring organization, judgment, and dependable service. Real estate experience is helpful but not required. We welcome candidates who can demonstrate capability and ownership across different career paths.

This is a full-time, in-person position in New York City. The role requires flexibility to address time-sensitive matters outside regular business hours. Working hours, availability expectations, and the scope of personal support will be discussed clearly during hiring.
