Executive Personal Assistant to CEO | High-Growth AI Tech Start-Up

Reports to: CEO (UK/US based; frequent international travel)

As they continue a rapid growth journey, they are seeking a dynamic, highly capable Executive Personal Assistant based in San Francisco (SF) to provide seamless support to the CEO, who travels regularly between the US (SF) and the UK (London).

As part of this momentum, we are seeking a resourceful and detail-oriented PA/EA to support the CEO—someone who can proactively manage his day-to-day administrative tasks and ensure smooth personal and professional operations, allowing him to focus on strategic priorities.

The Role

This is a hybrid PA/EA role designed for someone who thrives in a dynamic, fast-paced environment and takes ownership of both personal and executive-level support. Your primary focus will be to take life admin off the CEO’s plate, managing his personal errands, calendar, home logistics, and life tasks, alongside selected strategic business support functions.

Whether booking last-minute travel, ensuring personal obligations are met, or troubleshooting a missing package, you're the CEO’s behind-the-scenes operator, ensuring his day runs seamlessly. You'll be trusted to anticipate needs, manage competing priorities, and protect his time and headspace for what matters most: building the business.

This is an exciting role for someone who thrives in a fast-paced, high-growth environment and is passionate about technology, innovation, and being close to the heart of business operations.

We’re looking for an individual who is at ease with a hybrid work arrangement, combining in-office duties with remote work during the CEO's time in the UK.

Key Responsibilities

Personal Support & Life Admin

  • Manage the CEO’s personal diary and appointments
  • Oversee personal travel bookings and itineraries
  • Liaise with senior stakeholders and employees as appropriate, with discretion.
  • Handle confidential information with sensitivity and integrity.

Executive & Strategic Support

  • Support calendar management across US/UK time zones, optimising time for strategic work.
  • Be flexible and responsive, willing to work outside of regular hours as needed to align with UK-based operations.
  • Coordinate business travel and related logistics across multiple locations.
  • Prepare and support with pitch decks, presentations, and external materials (as needed).
  • Participate in client engagement initiatives and support key stakeholder communications.
  • Assist with board and stakeholder communications; follow-ups and reminders.
  • Act as a trusted gatekeeper and sounding board, managing inbound requests and priorities.
  • Provide ad hoc project and admin support to broader leadership team when requested.

About You

  • Minimum 5 years' experience supporting a C-suite executive or founder in a PA/EA capacity.
  • Experience working with high-profile or high-demand individuals, ideally within a start-up or entrepreneurial environment.
  • Proactive, solutions-focused, and able to manage multiple personal and professional demands simultaneously.
  • Tech-savvy, with strong proficiency in Google Workspace (Docs, Calendar, Drive, Slides).
  • Demonstrated discretion and sound judgment when handling sensitive information.
  • Highly organised, dependable, and meticulous with follow-through.
  • Comfortable working flexible hours to accommodate international time zones (especially UK).
  • Based in or around San Francisco, with the ability to work in a hybrid capacity.
  • A positive, unflappable attitude and service-oriented mindset.
