Beginning as a conference consulting & advisory firm helping other conference organizations launch, produce and grow institutional investor & thought leadership gatherings - roundtable & advisory is now engaged in developing, producing & launching City senior leadership summits focused on growth, innovation, real estate & economic development with & for leading cities.

About the Collaboration / Job

roundtable & advisory is growing it's City Summits platform from Jersey City to Newark, Charlotte, Queens/LIC, Detroit & Miami/Wynwood. City Summits comprising two leadership gatherings. The Summit on Economic Development, Placemaking & Innovation and the Summit for Real Estate Investment. These are convenings of principals' across the public & private spheres and include anchor institutions as well as city, county, state & regional government leadership. Working alongside each city's principal economic development entities - the summits are intended to be annual conferences to help accelerate the city's growth through panel discussions covering all of the areas important to 'what makes a city successful'...'attractive to live, work, learn, play & invest in'.

About the Role

This role is ideal for a motivated student, recent graduate, or early-career professional interested in cities, real estate, economic development, events, and executive operations. You will work closely with the Principals to support the growth of the platform and help coordinate leadership-focused summits and related initiatives.

The role involves research, outreach, scheduling, and operational support across a wide range of activities. Responsibilities may include communicating with senior leaders from anchor institutions, major companies, developers, public sector organizations, and other key stakeholders; helping coordinate speaker outreach and invitations; organizing pre- and post-event meetings and strategy calls; and supporting the development of conference themes, panels, and thought-leadership content.

We’re looking for someone who is excited about cities, transformative projects, and bringing people together around ideas that can help communities grow. This role is well suited for someone who wants hands-on exposure to executive operations, stakeholder coordination, research, and summit development, and who is interested in helping grow each City Summit to its fullest potential over time.

Additional Duties Done in Conjunction with Principals

  • Assist with preparing budgets, projections, and expense tracking for company initiatives and special projects.
  • Research, gather, compare, and present vendor pricing and service options.
  • Support coordination with venues, caterers, vendors, and other external partners.
  • Assist with contract preparation, review coordination, and service documentation.
  • Help develop and maintain project timelines to ensure smooth execution of initiatives.
  • Communicate internal responsibilities, deadlines, and next steps with staff and stakeholders.
  • Provide day-of operational support for events, meetings, and executive initiatives as needed.
  • Assist with presentation logistics, program materials, and overall meeting coordination.
  • Support registration tracking, attendance management, and database organization.
  • Help maintain relationships with vendors, sponsors, and strategic partners.
  • Assist with reviewing promotional materials and communications for accuracy and consistency.
  • Prepare post-project summaries, including expense tracking, attendance reporting, invoicing support, and follow-up documentation.
  • Help coordinate meetings with sponsors, vendors, and external partners as needed.
  • Collect bios, company information, and promotional materials for partner recognition and communications.
  • Track partner deliverables and support follow-through across project timelines.
  • Assist with communicating client and partner needs internally to support smooth execution.
  • Contribute ideas for partner visibility, engagement opportunities, and operational improvements.

Compensation

  • The compensation can be contract or salary. The goal is to be a primary stakeholder and drive value as someone leading Executive Operations.
