Role Description
This position provides high-quality administrative support to those assigned while providing select cross-functional coordinator support for business and operational activities across the organization.
This position is ideal for a highly organized, flexible, and proactive professional who can effectively balance executive-level administrative responsibilities with broader organizational coordination. Approximately 40% of the role will be dedicated to C-suite administrative support and 60% to cross-functional operational and project coordination.However, this allocation will fluctuate from time to time.
The successful candidate will be comfortable managing competing priorities, coordinating activities among multiple stakeholders, maintaining accurate records and databases, facilitating meetings, documenting decisions and action items, and following through to ensure commitments are completed. The individual should be able to work independently, exercise sound judgment regarding priorities and know when to upscale.
Essential Functions
Executive Administrative Support
- Provide proactive administrative and organizational support to senior leaders as assigned.
- Manage complex calendars, including scheduling and coordinating internal and external meetings.
- Coordinate meeting logistics in collaboration with meeting owners (including Board of Director meetings), including agendas, materials, conference rooms, prepare meeting minutes, decisions, and action items.
- Coordinate remote team meetings for remote staff.
- Assist with travel arrangements, itineraries, expense and effort reporting, and related administrative activities.
- Organize and centrally maintain documents and records (ie, using platforms such as Sharepoint).
- Handle confidential and sensitive information with discretion.
- Anticipate administrative needs and identify opportunities to improve executive effectiveness and efficiency.
- Assist with onboarding new hires.
Cross-Functional Operations & Project Coordination
- Perform data entry and assist with maintenance of internal databases, spreadsheets, trackers, dashboards, and other operational tools (ie, using Smartsheets, Firmex, BD applications).
- Provide general operational and project support to SMEs as priorities evolve.
- Monitor project action items and deadlines and proactively follow up with responsible individuals to help maintain progress.
- Maintain accurate and organized project documentation and ensure information is readily accessible to appropriate team members (using platforms such as Sharepoint).
- Assist with preparation of recurring operational reports, status updates, presentations, and metrics (using applications such as Excel and Powerpoint).
- Identify and implement opportunities to improve efficiency, organization, communication, and information management across the company.
Qualifications
- Bachelor's degree in a relevant field including business project management, life sciences, etc.
- 5+ years of relevant professional experience in executive administration, business operations, project coordination, program coordination, or a related role.
- Demonstrated experience supporting senior leaders and/or coordinating activities across multiple functions.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently while knowing when to seek direction or escalated an issue.
- Strong interpersonal skills and the ability to work effectively with individuals at all levels of an organization.
- Proficiency with Microsoft Office or comparable productivity tools, particularly Outlook, Word, Excel, and PowerPoint.
- Experience maintaining spreadsheets, databases, project trackers, or similar information-management systems.
- Ability to handle confidential and sensitive information with discretion.
