Success in this position is essential for enabling the leadership team to achieve organizational goals and fulfill the mission.

MINIMUM QUALIFICATIONS

  • Alignment with the organization’s mission and values.
  • Bachelor's degree or equivalent experience.
  • At least 5 years supporting high-level executives in a fast-paced setting.
  • Proficiency in Microsoft Office 365 and Outlook.
  • Exceptional attention to detail.
  • Ability to perform under pressure.
  • Notary public certification or ability to obtain one.

KEY RESPONSIBILITIES

Executive Office Operations

  • Maintain an efficient executive office environment, ensuring order and professionalism.
  • Manage incoming communications, prioritizing high-stakes matters.
  • Handle confidential administrative tasks, including document creation and correspondence.
  • Draft and send communications on behalf of the President + CEO.
  • Keep contact lists updated and manage stakeholder relationships.
  • Coordinate gift purchases and organize staff events and meetings.
  • Oversee lobbying and ethics compliance, including report filings.
  • Complete and submit timesheets accurately.

Meeting Scheduling and Coordination

  • Schedule and coordinate meetings with multiple stakeholders.
  • Prepare meeting materials and agendas in advance.
  • Conduct weekly review sessions with the President + CEO.
  • Support internal and external meetings with seamless logistics.

Board of Trustees Support

  • Coordinate onboarding for new board members.
  • Manage annual conflict of interest processes and organizational assessments.
  • Prepare and distribute agendas and materials for board and committee meetings.

Cross-Organizational Coordination

  • Serve as the expert for virtual and in-office meeting platforms.
  • Act as an authorized notary public as needed.

Expense Management

  • Handle travel, registrations, and reimbursements for leadership.
  • Reconcile corporate card charges monthly with accuracy.
