Job summary

Waterford Hotel Group is seeking an Executive Meeting Manager to lead the seamless planning and coordination of large-scale events. The role focuses on flawless execution, aligning sales objectives with operations to deliver exceptional client experiences.

The ideal candidate will have hotel sales and meeting/event planning experience, strong communication skills, and the ability to coordinate multiple departments and vendors to meet client objectives.

Qualifications

  • Hotel sales experience preferred.
  • Meeting and event operations/planning/coordination experience preferred.
  • Must have experience at properties of similar size and quality.
  • Knowledge of a hotel structure and how all departments interact for overall success.
  • Exceptional follow-up skills required.
  • Understand the process of meeting room sets and AV requirements.
  • Excellent written and oral communications skills with clients and the ability to analyze data and communicate effectively with peers and supervisors.
  • Clear, concise written and verbal communication skills.
  • Pass a thorough background check and be drug free.

Responsibilities

  • The Executive Meeting Manager will act as the primary liaison between the sales team and the staff of the property while focusing on the client's expectations.
  • Ensures precise execution of group events by coordinating all operating departments to deliver required services including arrival/departure, room set-ups, AV/production, special needs, diagrams, events, and transportation.
  • Familiar with all aspects of the facility including accommodations, meeting facilities and support services.
  • Fulfill meeting objectives for each client and ensure events meet requirements.
  • Maintain open communication with all Departments to better meet client requirements.
  • Communicate with the sales team to ensure expectations are met or exceeded.
  • Communicate details of events to appropriate personnel in a timely manner.
  • Coordinate client needs using departmental services and local vendors.
  • Update Operations departments after BEOs with changes.
  • Maintain high levels of employee/guest relations and positive cross-department relationships.
  • Take a proactive approach toward guest satisfaction.

Job Description
  • The Executive Meeting Manager will act as the primary liaison between the sales team and the staff of the property while focusing on the client's expectations.This position reports to: The Director of Sales.
  • Ensures precise execution of group events by effectively coordinating all operating departments to deliver required services to include but not limited to, arrival and departure, meeting room set-ups, audio visual/production needs, special individual needs, diagrams, special events, transportation as liaison to facility staff.
  • Must be thoroughly familiar with all aspects of the facility including accommodations, meeting facilities and support services available to best maximize the effective utilization of the facility.
  • Must constantly fulfill the general, unique or special meeting objectives of each client and ensure each meeting/event meets that client's particular meeting objectives, needs and requirements.
  • Maintain open communication and timely updates with all Departments in an effort to better meet the clients' requirements.
  • Communicates frequently with the sales team to ensure expectations are met or exceeded.
  • Communicates effectively verbally and in writing all details of events to appropriate personnel in timely manner.
  • Coordinate all aspects of the clients' needs by utilizing departmental services, along with services provided by local vendors who may offer services and/or products as requested.
  • After BEOs have been distributed to all Departments, maintain accurate and up to date information by continually updating Operations Departments of changes by following change process procedures whenever changes to a meeting have occurred.
  • Maintain the highest level of employee/guest relations, and excellent working relationships with all Departments.
  • Take a proactive approach toward guest satisfaction.
Requirements
  • Hotel sales experience preferred.
  • Meeting and event operations/planning/coordination experience preferred.
  • Must have experience at properties of similar size and quality.
  • Knowledge of a hotel structure and how all departments interact for overall success.
  • Proficient in computer use, including the Microsoft Office Suite.
  • Exceptional follow-up skills required.
  • Understand the process ofmeeting room sets and how to ascertainA/V requirements.
  • Excellent written and oral communications skills with clients and have the ability to analyze data and communicate effectively with peers and supervisors.

Managerial Requirements

  • Clear, concise written and verbal communication skills.
  • You must be able to pass a thorough background check as well as be drug free.
