Job summary

Permanent Placements LLC is assisting a leading global law firm in Seattle to recruit an experienced Legal Executive Assistant for its Corporate practice. This hybrid role partners with attorneys to deliver high-level administrative, project management, and practice support in a fast-paced environment.

The ideal candidate has 5+ years supporting senior professionals in a corporate or legal setting, exceptional organizational and communication skills, and the ability to manage multiple priorities

Qualifications

  • Required strong organization and multitasking abilities in a legal or corporate setting.
  • Proven experience supporting senior-level professionals and handling confidential information.
  • Excellent written and verbal communication skills are essential.

Responsibilities

  • Manage and coordinate attorney projects, meeting deadlines and milestones.
  • Act as liaison between attorneys, clients, and internal teams.
  • Handle communications with professionalism and discretion on behalf of attorneys.
  • Coordinate assignments to legal support staff and shared services.
  • Draft, proofread, and finalize legal documents and presentations.
  • Maintain electronic and hard-copy filing systems.
  • Support business development research and executive briefings.
  • Coordinate meetings, prepare agendas, and manage logistics.
  • Oversee billing processes and client invoicing.
  • Manage complex calendars, travel, expenses, and time-entry.
  • Provide mentorship and workflow support to legal staff as needed.

Overview

Our client, a leading global law firm, is seeking an experienced Legal Executive Assistant to support attorneys within its Corporate practice. This position is based in Seattle and offers a hybrid work arrangement.

This role serves as a strategic business partner to attorneys, providing high-level administrative, project management, and practice support. The ideal candidate will have experience supporting senior professionals in a corporate or legal environment, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced setting.

Responsibilities
  • Manage and coordinate attorney projects, ensuring deadlines, milestones, and deliverables are met
  • Serve as a primary liaison between attorneys, clients, and internal business teams
  • Handle communications on behalf of attorneys with professionalism, discretion, and sound judgment
  • Coordinate and oversee assignments delegated to legal support staff and shared services teams
  • Collaborate with attorneys and support teams to ensure efficient workflow management and high-quality work product
  • Draft, proofread, revise, and finalize legal documents, correspondence, presentations, and other materials
  • Maintain and organize electronic and hard-copy filing systems
  • Conduct research and compile information for business development initiatives, client matters, and executive briefings
  • Coordinate meetings, prepare agendas and materials, and manage logistics with internal and external participants
  • Oversee billing processes, including prebill review, approvals, coordination with billing teams, and client invoicing
  • Manage complex calendars, scheduling, travel arrangements, expense processing, and time-entry coordination
  • Provide guidance, mentorship, and workflow support to legal administrative and support personnel as needed
Qualifications
  • High school diploma or GED required
  • Bachelor’s degree in Legal Studies, Business Administration, or a related field preferred
  • Minimum of 5 years of administrative experience supporting senior-level professionals in a legal or corporate environment
  • Strong organizational, project management, and multitasking abilities
  • Exceptional written and verbal communication skills
  • Ability to exercise discretion while handling confidential and sensitive information
  • Proven ability to work effectively under pressure in a fast-paced professional environment
  • Strong interpersonal skills and ability to collaborate across all levels of an organization
Preferred Skills
  • Experience supporting attorneys within a corporate legal practice
  • Advanced proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Familiarity with document management systems, legal technology platforms, billing systems, and research tools
  • Experience using virtual collaboration platforms such as Microsoft Teams and Zoom
  • Ability to adapt quickly to new technologies, software upgrades, and AI-enhanced productivity tools
  • Strong attention to detail and commitment to delivering high-quality work product
