Job summary

Complexly is seeking an Executive Coordinator in Missoula, MT to deliver precise administrative support to the CEO. You will manage calendars, coordinate meetings, prepare materials, and safeguard confidential information as you help leadership stay organized.

You will also assist with internal communications, board logistics, and project coordination to support Complexly's mission and everyday operations as the organization grows.

Qualifications

  • Minimum 2 years of professional administrative experience.
  • High proficiency with calendar management and scheduling.
  • Ability to maintain confidentiality and handle sensitive information.

Responsibilities

  • Manage calendar scheduling and expense reporting for the CEO and CCO.
  • Take detailed notes during leadership meetings and distribute action items.
  • Format materials (slides, briefs) for meetings to CEO standards.
  • Coordinate logistics for All Staff meetings and internal communications.
  • Manage Board meeting logistics and maintain board records.
  • Support cross-functional projects with status updates and follow-ups.

The Executive Coordinator provides precise administrative and organizational support to the CEO, ensuring their calendar, meetings, and communications running smoothly. This role is the operational backbone of senior leadership, handling scheduling, meeting logistics, Board administration, and information flow with meticulous attention to detail.

You're responsive to immediate, high-priority needs, eager to ask questions, and ready to take direction well as you grow into greater responsibility over time.

Status: Full time, Exempt, Salaried

Reports to: CEO

Location: Missoula, MT

Pay: $61,566 - $64,568

What you'll do:
Executive Assistance
  • Manage calendar scheduling with care and accurate expense report tracking for the CEO and CCO.
  • Take detailed notes during leadership meetings and help distribute action items with clarity.
  • Format materials (slides, briefing docs) for meetings to CEO’s standards
  • Maintain confidentiality and handle sensitive information with discretion.
Internal Communications & Organizational Coordination
  • Coordinate logistics for All Staff meetings, Office Hours, and other company-wide gatherings.
  • Assist with formatting and distributing internal communications.
  • Keep shared calendars and communication trackers up to date.
Board of Directors Administration
  • Manage Board meeting logistics (scheduling, materials distribution, room/tech setup).
  • Take and format Board meeting minutes for CEO review.
  • Organize and maintain Board records.
Project Support
  • Support cross-functional projects, upon requests: tracking timelines and deliverables, preparing status updates, and following up on action items.

  • Minimum 2 years of professional administrative experience (including internships, jobs, or relevant volunteer experience) required.
  • High proficiency with calendar management and scheduling required.
  • Ability to maintain confidentiality and handle sensitive information with discretion required.
  • Highly proficient written, organization and verbal communication required.
  • Proficiency with Google Suite including Google Docs, Google Sheets, and Google Forms required.
  • Familiarity with Complexly’s content and YouTube-first media preferred.
