Job summary

Adriana's, California's leading insurance brokerage, seeks a highly organized professional to work directly with the CEO across multiple businesses, projects, initiatives, partnerships, and PR opportunities. This is not a traditional Executive Assistant position.

We are looking for someone who can become the CEO's right hand—turning ideas into execution while moving between operations, new projects, events, and strategic priorities to keep the CEO focused and forward-moving.

Qualifications

  • 5+ years of experience in executive operations, Chief of Staff, or similar.
  • Experience working directly with a CEO/founder in a fast-paced environment.
  • Exceptional organization and follow-through.
  • Strong project management with clear plans, timelines, owners.
  • Excellent prioritization, judgment, and decision-making.
  • Proactive mindset with ability to anticipate needs.
  • Strong communication skills with executives and teams.
  • High accountability, persistence, and integrity.

Responsibilities

We are looking for a highly organized, proactive, business-minded professional to work directly with our CEO/Founder across multiple businesses, projects, initiatives, partnerships, and PR opportunities. This is not a traditional Executive Assistant position.

We are not looking for someone whose primary responsibility is managing a calendar, booking travel, or handling administrative tasks.

We are looking for someone who can become the CEO's right hand—someone who understands the big picture, creates order around multiple moving pieces, anticipates what needs to happen next, and makes sure ideas turn into execution.

The right person must be comfortable moving between business operations, new projects, executive priorities, PR, events, partnerships, and strategic initiatives.

The goal is simple:

Keep the CEO organized, focused, prepared, and moving forward.

Responsibilities

1. CEO & Business Organization

Keep the CEO focused on the highest-priority issues across all businesses and initiatives.

  • Maintain the CEO’s master priorities, commitments, deadlines, and follow-ups.
  • Organize meetings, projects, decisions, and key information.
  • Distinguish what requires CEO attention from what can be delegated.
  • Prepare the CEO for key meetings and decisions.
  • Coordinate with executives and department leaders to ensure decisions are communicated and executed.
  • Maintain visibility across businesses and prevent important initiatives from getting lost.

2. Strategic Initiatives & New Projects

Turn the CEO’s ideas and opportunities into organized, executable projects.

  • Define objectives, success metrics, owners, timelines, budgets, and next steps.
  • Develop project plans and milestones.
  • Coordinate teams and track deliverables.
  • Identify roadblocks and elevate issues requiring CEO decisions.
  • Provide concise status updates and keep projects moving through completion.
  • Support new businesses, products, events, partnerships, marketing, media, and other strategic initiatives.
3. PR, Media & Strategic Opportunities —

Help organize and maximize opportunities involving the CEO and her brands.

  • Coordinate PR, media appearances, interviews, podcasts, speaking engagements, and partnerships.
  • Manage follow-up with agencies, representatives, and key relationships.
  • Evaluate opportunities against the CEO’s priorities and brand.
  • Prepare concise executive briefings for major opportunities covering:Who, Why, Message, Objective, CTA, and Follow-Up.
4. Executive Follow-Through

Ensure decisions and commitments turn into completed actions.

  • Track CEO requests and post-meeting commitments.
  • Assign owners, deadlines, and status.
  • Follow up with executives and department leaders.
  • Identify missed deadlines and proactively resolve roadblocks.
  • Close communication loops and maintain accountability.
5. Business Visibility & Numbers

Provide the CEO with a clear, high-level view of business performance.

  • Coordinate with leadership on revenue, sales, expenses, budgets, forecasts, KPIs, and major variances.
  • Monitor project budgets and business performance.
MUST-HAVES
  • 5+ years of relevant experiencein executive operations, Chief of Staff, business operations, project management, or a comparable role.
  • Experience working directly with a CEO, founder, or senior executivein a fast-paced environment.
  • Exceptional organization and follow-through.You naturally track commitments, deadlines, owners, and next steps until things are completed.
  • Strong project-management skillswith the ability to turn ideas into clear plans, timelines, owners, and deliverables.
  • Excellent prioritization and judgment.You can distinguish what requires the CEO’s attention from what should be handled or delegated elsewhere.
  • Proactive mindset.You anticipate needs, identify problems early, and take action without waiting to be asked.
  • Strong communication skills—written, verbal, and interpersonal—with the ability to communicate effectively with executives and teams.
  • High accountability and persistence.You are comfortable following up with senior leaders and holding people accountable for commitments.
  • Ability to operate in ambiguity.You can take a loosely defined idea and create structure around it.
  • Strong business acumenand comfort working with budgets, KPIs, financial information, and business performance.
  • Ability to synthesize information quicklyand provide concise, executive-level updates and recommendations.
  • High discretion and integritywhen handling confidential business and personal information.
  • Comfort managing multiple priorities simultaneouslyacross different businesses, departments, and initiatives.
  • Strong technology proficiencywith productivity, project-management, communication, and presentation tools.
  • High emotional intelligenceand the ability to build strong relationships across all levels of an organization.

Pay: $115,000.00 - $160,000.00 per year
