AMETEK is seeking an Executive Assistant to support the BU Manager in Madison, WI. The role partners with senior leaders to ensure smooth daily operations, strong communication, and alignment with strategic priorities.

Ideal candidates have 5–8 years of EA experience, a BA/MA in business-related fields, and strong English communication. Proficiency with Microsoft 365, discretion, autonomy, and a proactive, AI-aware mindset are essential.

Qualifications

  • Bachelor’s or Master’s degree in Business Administration, Management or equivalent.
  • 5–8 years’ experience as an Executive Assistant or similar role supporting senior leaders.

Responsibilities

  • Manage the BU Manager’s agenda, priorities, and travel arrangements, ensuring optimal time management.
  • Prepare, coordinate and follow up on key meetings (BU leadership meetings, reviews, COMEX-related sessions), including agendas, presentations, minutes and action tracking.
  • Act as a central point of contact between the BU Manager and internal/external stakeholders, ensuring clear, timely and professional communication.
  • Support BU governance processes by coordinating documentation, decision logs, and follow-up actions.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Coordinate administrative processes related to the BU (approvals, signatures, reporting deadlines).
  • Contribute to BU projects by providing organizational support, tracking milestones and ensuring alignment with timelines.
  • Support internal communications within the BU, including preparation of key messages, announcements and presentations.

Job description

Reporting to the DVP BU Manager and the DVP Business Manager, the Executive Assistant provides high-level administrative, organizational and coordination support, enabling the BU Manager to focus on strategic, operational and leadership priorities. The role acts as a trusted partner, ensuring smooth day-to-day operations, effective communication, and strong coordination across the BU and with key internal and external stakeholders.

Requirements
  • Education & experience:
    • Bachelor’s or Master’s degree in Business Administration, Management or equivalent.
    • Minimum 5–8 years’ experience as an Executive Assistant or similar role supporting senior leaders, preferably in an international or industrial environment.
  • Professionnal knowledge & abilities:
    • Excellent organizational and prioritization skills.
    • Strong written and verbal communication skills in English
    • High level of confidentiality, discretion, reliability and professionalism.
    • Ability to operate in a complex, matrix and international environment.
    • Proficiency with Microsoft 365 tools (Outlook, PowerPoint, Teams, Excel).
    • Proactive mindset, autonomy and problem-solving capability
    • Demonstrated ability and willingness to use AI tools to improve productivity, decision‑marking, work quality, and to reduce costs. The successful candidate must be able to identify appropriate AI use cases and critically evaluate AI-generated outputs.
