Position Summary

A well-established, privately held manufacturing and consumer products organization is seeking an experienced Executive Assistant to the President & Owner to provide high-level executive and personal administrative support at its West Chicago, IL location.

This is a unique opportunity for a highly organized, polished, and trustworthy Executive Assistant who enjoys working directly with senior leadership and thrives in a role requiring discretion, independent judgment, exceptional attention to detail, and the ability to manage multiple priorities.

The ideal candidate will bring a proven track record of supporting Presidents, CEOs, business owners, or C-suite executives, along with the ability to anticipate needs, organize demanding schedules, manage sensitive information, and execute a wide variety of professional and personal responsibilities.

This position combines traditional executive support with personal and family administrative responsibilities. In addition to managing calendars, meetings, communications, and business priorities, the Executive Assistant will help coordinate personal appointments, residential property-related activities, service providers, travel, reservations, and other confidential requests on behalf of the President and, occasionally, members of his family.

We're looking for someone who understands the importance of becoming a trusted, long-term partner to an executive — someone who is proactive, resourceful, detail-oriented, and comfortable taking ownership of responsibilities from beginning to end.

This is a highly visible position offering direct access to the President and Owner of an established organization, a varied workload, and the opportunity to develop a lasting professional relationship built on trust, reliability, and exceptional execution.

What You'll Do
  • Provide comprehensive executive and personal administrative support to the President and Owner of a privately held organization
  • Manage a complex executive calendar, including meetings, appointments, conference calls, travel, personal commitments, and changing daily priorities
  • Anticipate scheduling conflicts, coordinate adjustments, and ensure the President's time is organized effectively
  • Manage a high volume of simultaneous requests, determining priorities, tracking deadlines, and ensuring timely follow-through
  • Serve as a trusted point of contact between the President and internal leadership, employees, external business partners, vendors, and other professional contacts
  • Prepare, draft, edit, and proofread executive correspondence, presentations, reports, meeting materials, and other business documentation
  • Coordinate meetings, prepare agendas, organize supporting materials, and track follow-up action items
  • Communicate updates clearly and concisely, ensuring the President has the information needed to make decisions efficiently
  • Arrange domestic and other business travel, including flights, hotels, ground transportation, itineraries, and related logistics
  • Coordinate personal travel, reservations, appointments, gifting, and special requests as needed
  • Assist with personal and family administrative responsibilities, including coordination with household service providers, contractors, and residential property managers
  • Help manage service requests, maintenance schedules, and other administrative activities associated with multiple residential properties
  • Support confidential personal financial and administrative matters, including coordination of documentation, payments, and related requests in partnership with appropriate internal or external professionals
  • Assist with planning and coordinating company events, leadership meetings, customer visits, community activities, and special projects
  • Process invoices, reimbursements, expense reports, and supporting documentation
  • Maintain accurate, organized, and confidential files, records, contact information, and executive documents
  • Provide occasional administrative assistance to other senior executives while maintaining the President's priorities
  • Coordinate local errands, meetings, or event-related activities when necessary
  • Monitor time-sensitive communications and assist with urgent schedule adjustments outside standard business hours when needed
  • Exercise sound judgment and exceptional discretion when handling sensitive business, financial, family, and personal information
  • Proactively identify potential issues, anticipate upcoming needs, and ensure commitments are completed accurately and on time
What You Bring
  • Minimum of 5 years of Executive Assistant experience supporting senior executives, Presidents, CEOs, business owners, or C-suite leadership
  • Demonstrated experience managing complex executive calendars, meetings, travel arrangements, communications, and competing priorities
  • Strong organizational skills with the ability to manage a significant volume of requests without losing track of details or deadlines
  • Exceptional attention to detail and a commitment to accuracy, professionalism, and high-quality work
  • Proven ability to work independently, exercise good judgment, and take ownership of assignments with minimal supervision
  • Outstanding confidentiality and discretion when handling sensitive business and personal matters
  • Strong written and verbal communication skills, with the ability to provide clear, concise updates and interact professionally with individuals at all levels
