Executive Assistant to the President

LB Contract Supply — Madison, WI Full-Time | On-Site

About the Role

LB Contract Supply is a growing commercial construction supply and services company operating across multiple markets. We are building the systems, technology, and processes needed to support continued growth.

We are looking for an Executive Assistant to the President who is highly organized, resourceful, technologically capable, and unusually strong at problem-solving and follow-through.

This is not a traditional administrative assistant role.

The President does not need someone who simply waits for instructions, completes isolated tasks, or asks for step‑by-step direction. He needs someone who can understand the intended outcome, make reasonable assumptions, use available tools, solve problems, move work forward, and bring back recommendations when executive input is truly required.

The right person will progressively reduce the amount of executive attention required to operate the business.

What Success Looks Like

When something is assigned to you, you own it until there is a result.

If two packages need to be mailed today, success means they were mailed and the loop was closed.

If an office issue needs to be solved, success is not simply identifying the issue or ordering something. Success means the solution is actually working.

If the company needs a new process, you are expected to help figure out how that process should work—not wait for the President to design every step.

We expect questions. We do not expect you to know everything.

But your default response to uncertainty should be:

“I’ll work through this, come back with a recommendation, and let you know what I actually need from you.”

rather than:

“Tell me exactly what you want me to do.”

Responsibilities

You will work directly with the President across executive priorities, projects, employees, customers, vendors, technology, and day-to-day business operations.

  • Take loosely defined executive requests and turn them into completed outcomes.
  • Maintain a reliable system for tracking commitments, delegated work, deadlines, follow-ups, and unresolved issues.
  • Follow up with employees, vendors, customers, and other stakeholders without requiring the President to chase them.
  • Identify stalled work and proactively move it forward.
  • Draft emails, correspondence, internal communications, procedures, summaries, and follow-ups.
  • Research issues and present recommendations instead of simply presenting questions.
  • Help implement operating systems, procedures, and workflows.
  • Coordinate meetings, calls, documents, appointments, purchases, mailings, travel, and executive logistics.
  • Track decisions and make sure conversations become actions.
  • Recognize small problems before they become executive problems.
  • Make reasonable routine decisions within established authority.
  • Know when executive involvement is genuinely necessary.
  • Assist with special projects that may cross multiple departments.
  • Help organize information so the President can make decisions quickly.
  • Use technology and AI tools to improve speed, organization, communication, and execution.

Some assignments will be strategic.

Others may be very simple.

The size of the task does not change the expectation of ownership and follow-through.

AI & Technology Are Part of the Job

LB actively uses AI and technology to research problems, draft communications, document processes, analyze information, organize projects, and improve operating systems.

You do not need to be an AI expert before joining us.

You do need to be comfortable using AI as part of your everyday work.

The successful candidate will be willing to use tools such as ChatGPT and other business software to:

  • research unfamiliar problems;
  • organize information;
  • create first drafts;
  • summarize documents and conversations;
  • develop procedures and workflows;
  • analyze options;
  • prepare recommendations;
  • improve repetitive processes;
  • collaborate with the President on ongoing business projects.

We are looking for someone who views technology as leverage—not something to avoid.

Who We Are Looking For

You are likely a strong fit if you:

  • Naturally take ownership.
  • Finish what you start.
  • Notice loose ends and close them.
  • Are highly dependable.
  • Are comfortable operating in ambiguity.
  • Enjoy figuring things out.
  • Can make reasonable decisions without constantly seeking permission.
  • Can distinguish between something you should decide and something the President truly needs to decide.
  • Communicate clearly and concisely.
  • Are comfortable following up repeatedly when necessary.
  • Can manage many unrelated responsibilities simultaneously.
  • Are curious and technologically adaptable.
  • Learn new software without requiring extensive formal training.
  • Can use AI effectively as a working tool.
  • Prefer bringing someone a proposed solution rather than simply bringing them a problem.
  • Enjoy helping build processes rather than requiring every process to already exist.
  • Take pride in making the people around you more effective.

This Role Is Probably Not a Good Fit If You...

  • Need detailed instructions before beginning most assignments.
  • Prefer repetitive work with clearly defined steps.
  • Regularly wait for someone to follow up with you.
  • Consider sending an email equivalent to completing the result.
  • Frequently complete part of an assignment and assume someone else will finish it.
  • Are uncomfortable making reasonable judgement calls.
  • Stop when you encounter something you have not previously been trained to do.
How We Work

LB is growing quickly, and not every process has already been documented.

You will receive context, support, and access to the people and tools needed to succeed. At the same time, part of this position is helping us build what does not yet exist.

You will make mistakes.

That is expected.

We would rather discuss a reasonable decision you made than discover nothing happened because you were waiting for permission.

The successful person in this role should require less executive supervision over time—not more.

First 90 Days

During your first 90 days, we expect you to:

  • Learn the President’s communication style, priorities, and decision‑making preferences.
  • Establish a dependable system for tracking executive commitments and delegated work.
  • Demonstrate consistent close‑the‑loop follow‑through.
  • Independently resolve routine administrative and operational issues.
  • Become comfortable using AI alongside the President on active projects.
  • Learn the company’s major systems, departments, customers, and workflows.
  • Begin identifying recurring problems and proposing solutions without being asked.
  • Reduce the number of things the President personally has to remember, monitor, or chase.

The fundamental measurement of this role is simple:

Does having you in this position create more capacity for the President to run and grow the company?
