Job description

The National Federation of the Blind is a membership organization of blind people from each of the fifty states, the District of Columbia, and Puerto Rico. As America's civil rights organization of the blind, the Federation is a coordinated network of skilled advocates, resources, and programs that raise expectations of the blind in society and create opportunities for blind people to live the lives they want.

The staff of the Federation are central to the organized blind movement by providing support, professional expertise, and daily contributions to the success of the organization. Working under the direction of the Federation's elected President, the staff advise the organization's leadership and contribute to the vibrant, energetic, and collaborative culture of the organization that raises expectations for blind people throughout society.

The executive assistant to the President reports to the chief of staff to the President and is dedicated to supporting the elected President and the Office of the President. Working in close daily partnership with the President and chief of staff, the executive assistant manages the administrative systems, information flow, logistics, and follow-up tasks that enable the President to focus on movement leadership, organizational strategy, major relationships, advocacy direction, and senior personnel responsibilities.

The President may assign work directly to the executive assistant, while the chief of staff provides day-to-day supervision, workload coordination, performance management, and office standards. This position requires exceptional organization, initiative, accessibility awareness, judgment, responsiveness, and discretion, as well as flexibility to work occasional evenings and weekends and to travel when required.

Responsibilities
  • Managing the President's complex calendar, coordinating internal and external meetings, protecting focused work time, and resolving scheduling conflicts in consultation with the President and chief of staff.
  • Coordinating travel arrangements, itineraries, transportation, accommodations, meeting logistics, and supporting materials for the President.
  • Preparing and organizing accessible briefing materials, agendas, background documents, contact information, and other resources needed for presidential meetings and events.
  • Monitoring incoming requests to the Office of the President, obtaining needed information, tracking deadlines, and routing matters according to established priorities and protocols.
  • Drafting, formatting, proofreading, and coordinating correspondence, memoranda, meeting notes, reports, presentations, and other materials on behalf of the Office of the President.
  • Maintaining an accurate system for tracking the President's commitments, assignments, decisions, correspondence, follow-up items, and important relationships.
  • Supporting executive and presidential meetings through scheduling, document distribution, logistical coordination, notetaking when requested, and timely follow up.
  • Coordinating closely with the chief of staff and executive leaders to ensure that requests for the President's time or decisions are complete, timely, and appropriately prioritized.
  • Processing expense reports, invoices, registrations, purchasing requests, and other administrative transactions for the President and the Office of the President.
  • Ensuring that documents and meeting processes used by the Office of the President are accessible to blind people and support efficient nonvisual access.
  • Anticipating administrative needs, identifying potential conflicts or missed commitments, and recommending practical solutions before problems arise.
  • Handling confidential information and sensitive organizational, membership, donor, legal, governance, and personnel matters with integrity and discretion.
  • Performing other duties as assigned.
Qualifications
  • Demonstrated success providing high-level administrative support to a senior executive, elected leader, or similarly complex office.
  • Exceptional organizational, calendar management, time management, and follow-through skills, with close attention to detail.
  • Strong written and oral communication skills and the ability to interact professionally with members, elected leaders, staff, public officials, donors, partners, and the public.
  • Ability to exercise solid judgment, establish priorities, anticipate needs, and respond calmly and effectively when schedules or circumstances change.
  • Demonstrated discretion and integrity in handling confidential information and sensitive organizational or personnel matters.
  • Strong proficiency with Microsoft 365 applications, electronic document management, virtual meeting platforms, and contemporary administrative systems.
  • Knowledge of accessible document practices and nonvisual technology or demonstrated ability and commitment to learn and consistently apply accessible document practices.
  • Commitment to the full integration of blind people into society on a basis of equality and to the mission, philosophy, and policies of the National Federation of the Blind.
Education and Experience
  • Associate or bachelor’s degree in business administration, communications, office administration, nonprofit management, or a related field preferred; equivalent combination of education and relevant experience will be considered.
  • Minimum of three to five years of progressively responsible executive or senior-level administrative support experience.
  • Demonstrated record of increasing responsibility in calendar management, travel coordination, executive correspondence, meeting support, and confidential administrative work; experience supporting a chief executive, elected leader, nonprofit executive, or membership organization strongly preferred.
Compensation and Benefits

The pay range for this position is 63,000 to 66,000 dollars per year.
