Executive Assistant to the President
Bethel, Alaska
Position Summary
Provides administrative support primarily to the President/CEO and Corporate Board of Directors. Shall adhere to a signed confidentiality statement as provided by the Human Resources Department to YKHC employees.
Qualifications
- Minimum Education: AA Degree or Certification Course in Business Management/Office Technology or similar industry or High school diploma.
- Minimum Experience: A minimum of five years progressively responsible Executive assistant experience. Must be able to travel within the Region and State.
- License, Certification, Registration: Valid State of Alaska Driver’s License for local driving is required.
- Specialized Knowledge and Skills: Must possess excellent organization skills; ability to utilize standard office equipment. Must be able to record and maintain accurate minutes from meetings held in Administration and Board of Directors meeting. Yupik Speaker is preferred.
Responsibilities
- Designing and implementing the process flow for installing, training, monitoring, supporting and servicing patients and care providers.
- Defining and implementing support and service procedures for third-parties, including physicians, and other patient care programs.
- Developing and implementing appropriate quality service metrics and reporting to ensure superior quality of service.
- Managing all hospital and patient care operations.
- Developing processes and instilling values that create world‑class customer care across a wide range of customer and client constituencies.
- Developing and streamlining the claims process to achieve increased efficiency, accuracy, and timeliness of claims processing.
- Evolving operational processes, metrics, and reporting.
- Strengthening communication between Operations and the other departments to feedback customer comments and increase our understanding of market demands.
- Developing and motivating a patient/customer care team that delivers a quality customer experience.
- Planning, developing and initiating new programs and services.
- Being responsible for assuring thorough and comprehensive communications on projects and progress.
- Determining the operational needs for supporting outstanding patient care and customer satisfaction.
- Conferring with administrators and administrative personnel to review achievements and discuss required changes in goals or objectives resulting from current status and conditions.
- Providing support to the Administrators to assure any deficiencies are eliminated to facilities.
- Scaling operations as needed, possibly developing new departments, to meet the increasing demands of a successful high‑growth transaction business.
- Formulating an overall budget for the hospital and making final decisions of funds allocation and expenditures within the hospital.
- Overseeing the daily operation of the Hospital organization and providing advice and direction to all program and department directors on general management issues, problem services and planning processes. Through delegated responsibility, maintaining control of the direction and overall supervision of the managers of human resources services, financial management services, patient advocacy, property and procurement services program planning, services, computer information services, and dietary services.
- Ensuring there is a comprehensive human resources program in place to effectively recruit, retain and develop personnel throughout the Hospital organization. Assuring attainment of EEO goals within the organization through training analysis and improvement in systems and mechanisms to resolve problems. Developing frameworks for managers to support career development in tracks that will provide for ongoing staff development and advancement opportunities.
- Ensuring compliance with all appropriate regulatory and accrediting bodies and regulations governing health care delivery including Joint Commission on Accreditation of Hospital, College of American Pathologist, and Occupational Safety and Health Act codes. Ensuring the programs and the facility are continually monitored and managed to maintain acceptable standards of operational and patient care. Initiating change when required and assessing whether additional resources or changes are required and assessing whether adequately address deficiency and needs. Facilitating identification of specific needs and ensuring they are appropriately placed in Long Ranges planning documents, construction plans, unmet needs documents, and program packages.
- Establishing and maintaining contact with other regional services agencies, civic organizations, individual and professional groups, for the purpose of promoting an effective regional network of services and positive public relations. The hospital goas is to improve overall service delivery system and to effectively network with all organizations to better serve our regional population. The hospital plays a key role in facilitating multi‑organizational gatherings of community goals, improving inter‑organization communications, and minimizing duplication of services provided by different various organizations.
- Being a participating member of the Governing Body and leads the Hospital Management Team (Executive Committee) in formulating plans, policies, and directives for the health programs for the Yukon‑Kuskokwim Delta Regional Hospital.
- Promoting an understanding and supporting relationships between YKDRH and the YKHC and YKDRH Board of Directors.
- Representing Yukon‑Kuskokwim Delta Regional Hospital and Yukon‑Kuskokwim Health Corporation interest in local, state, Indian Health Services legislative efforts. Participating in local and Statewide Health organizations to providing visibility and creditability to the Yukon‑Kuskokwim delta regional Hospital among professional health care providers and the general public as these relate to Hospital Services.
- Serving as coordinator and liaison with Alaska Area Native Health Services on policies, projects and technical assistance requests regarding hospital service delivery.
- Having final Fiduciary responsibility for Hospital Services.
- Overseeing the Hospital housing programs including (87 units) and ensuring effectively daily management and coordination of assignments, services, and adherence to policy by all residents in order to provide a positive living environment, optimal moral and good retention of staff.
- Other duties as assigned.
