Job summary

Boston Children's Hospital seeks an Executive Assistant to the CHRO to act as the administrative partner to the Executive Vice President, System Chief Human Resources Officer, and the VP of Human Resources. The role emphasizes calendar management, confidential handling of information, and executive-level correspondence.

The position requires independent judgment, superb written and verbal communication, and may supervise other administrative staff. Regular on-site presence is three days per week.

Qualifications

  • Associates degree required; Bachelor's degree preferred.
  • Minimum 4 years as an Executive Assistant with at least 2 years supporting a senior executive.
  • HR department experience desirable but not required.
  • Proficient in Microsoft Office suite and PeopleSoft.

Responsibilities

  • Manage the Executive's calendar with independent judgment and prioritize competing demands.
  • Plan, prepare, and execute meetings, interviews, seminars, and events.
  • Draft emails, edit correspondence, prepare presentations and notes.
  • Exercise discretion handling confidential information and requests.
  • Interface with vendors and support contract administration and vendor management.
  • Organize department reports, track expenses, and monitor budgets.
  • May supervise administrative staff and participate in hiring decisions.

Job description

The Executive Assistant to the CHRO will be the administrative partner to the Executive Vice President, System Chief Human Resources Officer, and the Vice-President of Human Resources, providing executive-level administrative and organizational support to ensure the Executive's success. Responsible for proactive and effective calendar and time management, prioritization of a high volume of competing demands, and rapid and precise execution of executive-level administrative functions. Must be able to function independently and handle highly confidential and sensitive business and employee information and matters with discretion. Candidates should possess superlative written and verbal communication skills, with the ability to create and edit correspondence, meeting notes, meeting preparation materials, and presentations at an executive level, ensuring professionalism, accuracy, attention to detail, and clarity. May oversee, train and supervise other administrative personnel within the department providing executive-level administrative support. Models exceptional teamwork, responsiveness, professionalism, and the values of Boston Children's Hospital at all times. This position reports to the Executive Vice President and System Chief Human Resources Officer. Regular on-site presence of 3 days per week is required.

Key Responsibilities
  • Manage the Executive's calendar to ensure effective time management and prioritization of competing demands, applying independent judgment, knowledge of the organization, and understanding of the Executive's needs and style to support the Executive's success. Proactively manage meeting schedules with consideration of timing, sequencing, and meeting location/travel requirements. Balances and plans daily, weekly and monthly commitments. Highly responsive to and able to rapidly make schedule adjustments as necessary to respond to Hospital operations and the Executive's responsibilities.
  • Plan, prepare, and execute logistical and administrative requirements for executive meetings, interviews, seminars, conferences, and special events.
  • Draft emails, create and edit correspondence, prepare presentations, and drafts other communications as directed. Demonstrate superlative written and verbal communication skills, reflecting professionalism, accuracy, attention to detail, and clarity.
  • Exercise judgment and discretion to handle incoming issues and requests, determining appropriate actions, responses, and solutions responsively and professionally.
  • Interface with vendors and support the Executive's business relationships with external parties. May oversee the facilitation of contract administration and vendor management as needed
  • Organizes Department business and financial reports and handles ad hoc department reporting to other departments as requested. Directly and/or in conjunction with other administrative staff, track expenses, administer the contract management process, ensure timely execution of contracts, handle purchase orders and reimbursements, and track Department budgets.
  • May oversee, train and supervise other administrative personnel within the department providing executive-level administrative support. Participate in selecting, evaluating, and disciplining subordinate staff as appropriate and applicable.
Minimum Qualifications
Education
  • Associates Degree required, with Bachelor's Degree strongly preferred.
Experience
  • Minimum 4 years of experience as an Executive Assistant, with at least two years supporting a senior Executive.
  • Prior experience working in a Human Resources department or function desirable but not required.
  • Highly adaptive to new technologies and expert in all key Hospital administrative operating systems, including the Microsoft Office suite and PeopleSoft.
  • The ability to effectively manage projects.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
