Job summary

OAS is seeking an Assistant to the Chair of the Permanent Council to provide administrative, program and technical support. The role requires strong secretarial skills, MS Office proficiency, and the ability to manage meetings, correspondence, budgets and documentation across multiple teams.

Essential education includes a diploma with secretarial training and several years of relevant experience; desirable experience includes knowledge of OAS priorities and the ability to draft minutes.

Qualifications

  • Essential: High school or technical/commercial training complemented by secretarial training resulting in a diploma and seven years of relevant experience OR advanced training and five years of relevant experience.
  • Desirable: Experience or knowledge of the OAS mandate and priorities related to the area of work; ability to take notes and draft minutes of meetings.

Responsibilities

  • Take full responsibility for the efficient organization and functioning of the Office of the Chair of the Permanent Council.
  • Provide information on issues based on background material; research and prepare background documentation.
  • Perform secretarial duties including drafting correspondence and preparing presentations.
  • Prepare administrative forms and actions for funds, contracts, and purchases with AMS coordination.
  • Maintain filing systems and ensure confidentiality of documents.
  • Organize meetings, draft agendas, invitations, minutes, and travel arrangements as required.
  • Provide secretarial support during meetings by taking notes and updating draft resolutions.
