Job description

We are seeking a highly organized and proactive Senior Executive Assistant to support our Founder & CEO. This pivotal role aims to optimize the CEO's time by managing complex schedules, communications, and personal affairs, enabling him to focus on strategic initiatives and growth. The ideal candidate will serve as a trusted partner, ensuring seamless operations across business and personal domains.

Key Responsibilities
  • Own and manage the CEO's complex calendar, proactively resolving conflicts and prioritizing key engagements
  • Triage and draft email correspondence, flagging critical items and handling routine communications independently
  • Serve as the primary point of contact for investors, vendors, and internal teams, maintaining professional relationships
  • Prepare comprehensive meeting materials, agendas, and follow-up action items to ensure productive engagements
  • Coordinate domestic and international travel arrangements, including itineraries and last-minute modifications
  • Handle personal matters such as appointments, household vendors, family scheduling, and special projects
  • Track and follow up on open items, deadlines, and projects across multiple entities to ensure timely completion
Required Qualifications
  • Minimum of 5 years supporting a C-level executive, founder, or principal, preferably in finance, investment, or legal sectors
  • Bachelor's degree in finance, economics, business, or related field is preferred
  • Working knowledge of finance and economics, with familiarity of investment terminology and market concepts
  • Proficiency with AI tools and a strong desire for continuous learning in emerging technologies
  • Exceptional organizational skills with meticulous attention to detail and follow-through
  • Ability to handle confidential information with discretion and professionalism
  • Excellent written and verbal communication skills, with a polished presence in interactions
  • Proficiency in Microsoft Office and Google Workspace, with adaptability to new software
  • Flexibility to respond to urgent matters outside standard hours when necessary
  • Reliable transportation, a valid driver’s license, and ability to work in person at our Fort Lauderdale office
  • Ability to pass a background check as required in a regulated financial environment
Preferred Qualifications
  • Experience in investment firms, broker-dealers, banks, family offices, or law firms
  • Experience supporting international travel and high-profile executives
  • Familiarity with financial documents, investment reports, and market analysis
  • Strong interpersonal skills to effectively liaise with investors and senior stakeholders
