We are seeking a highly motivated and organized Executive Assistant to join our entrepreneurial team and play a key role in our continued growth.

Position Summary
The Executive Assistant will be a cornerstone of our team, ensuring seamless operations and providing critical support to the firm\'s principals. The ideal candidate is a proactive, detail-oriented professional with a passion for organization and the ability to manage multiple priorities in a fast-paced environment. You will be responsible for a blend of executive support, investor relations coordination, and firm administration, acting as a key liaison between the principals, our investors, and our external partners.
Key Responsibilities
Executive & Team Support
- Provide comprehensive administrative support to the Founder & CEO, including strategic calendar management, email correspondence, and travel coordination
- Act as the primary point of contact for the principals, handling inbound communication with professionalism and discretion
- Schedule and coordinate internal and external meetings, including preparing agendas, materials, and ensuring all logistical details are handled
- Organize and maintain the firm\'s digital and physical filing systems, ensuring all documentation is easily accessible and secure (primarily using Google Drive)
Transaction & Investor Relations Support
- Maintain and update the firm\'s deal pipeline and transaction tracker, ensuring all information is accurate and up-to-date
- Assist in the preparation of investor materials, including investor kits, update reports, and presentations
- Manage the execution of key deal documents, including engagement letters, confidentiality agreements, and purchase and sale agreements
- Serve as a secondary point of contact for investor inquiries, providing timely and professional responses
- Administer the firm\'s Customer Relationship Management (CRM) system (Cloze), ensuring all investor and partner data is accurately maintained
Firm Operations & Administration
- Oversee the general organization and smooth functioning of the office
- Manage relationships with key vendors and service providers, including IT support
- Order and maintain office supplies and ensure all office equipment is functional
- Coordinate mail and deliveries
Qualifications & Attributes
- 3-10+ years of experience in a high-level administrative, executive assistant, or coordinator role. Experience in real estate, finance, or a professional services firm is highly preferred but not required
- Exceptional organizational and time-management skills, with the ability to manage multiple competing priorities without sacrificing attention to detail
- A high degree of professionalism and integrity, with the ability to handle confidential information with discretion
- A proactive, resourceful, and self-motivated mindset that demonstrates accountability and a commitment to delivering results. You are a problem-solver who anticipates needs and takes initiative
- High level of proficiency with Google Suite (Gmail, Calendar, Drive) and Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with CRM software (Cloze experience is a plus) is highly desirable
- Excellent written and verbal communication skills
- Strong interpersonal skills and the ability to work effectively with a small, collaborative team

- Competitive Compensation: Base salary of $50,000-$65,000 with a performance-based bonus of 10-15%, plus comprehensive benefits including health insurance and professional development opportunities.
