Job summary

The Fitzpatrick Group seeks an organized, proactive Executive Assistant to support a senior advisor in Houston. This role blends executive support, client service, and administrative duties to create a seamless client experience.

You’ll manage calendars, coordinate meetings, handle inquiries, and maintain client files. The ideal candidate has 1–3+ years in admin/EA roles, strong communication, and comfort with Excel and CRM systems.

Qualifications

  • 1-3+ years of administrative, executive assistant, client service, or operations experience
  • Strong organizational skills and exceptional attention to detail
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize, and follow through independently
  • Proficiency in Microsoft Office, particularly Outlook, Word, and Excel

Responsibilities

  • Manage and coordinate the advisor’s calendar, including client meetings, calls, and events
  • Schedule and confirm appointments and coordinate meeting logistics and materials
  • Prepare meeting agendas and gather relevant client information and documentation
  • Answer inbound calls and emails and provide timely follow-up on client and service requests
  • Maintain organized client files, records, and document management systems
  • Track tasks, requests, and follow-ups within the CRM to ensure timely completion
  • Assist with team management and general administrative needs
  • Serve as a primary point of contact between the senior advisor and clients
  • Build and maintain ongoing client relationships through professional and responsive communication
  • Respond to client requests and coordinate with the advisor and appropriate team members to resolve them
  • Assist clients with general account-related questions, including account information and balances
  • Collect and organize client information and documentation for account opening and maintenance
  • Assist with completing and preparing account paperwork and other client documentation
  • Coordinate paperwork and requests with custodians and other service providers
  • Help educate and assist clients with the firm’s digital tools and technology
  • Follow up on outstanding service requests and keep clients informed of progress
  • Assist with client onboarding and maintaining accurate client records
  • Support the advisor’s marketing and client communication efforts as needed

We’re looking for an organized, proactive, and dependable Executive Assistant / Administrative Assistant to support one of our senior advisors. This role combines executive support, client service, and administrative responsibilities and is ideal for someone who enjoys staying organized, managing multiple priorities, and creating a great experience for clients.

What You’ll Do
Executive & Administrative Support
  • Manage and coordinate the advisor’s calendar, including client meetings, calls, and events

What We’re Looking For
  • 1-3+ years of administrative, executive assistant, client service, or operations experience
  • Financial services or wealth management experience preferred, but not required
  • Strong organizational skills and exceptional attention to detail
  • Excellent verbal and written communication skills
  • Ability to multitask, prioritize, and follow through independently
  • Professional, positive, and client-service-oriented demeanor
  • Strong problem-solving skills and willingness to take initiative
  • Ability to learn new systems, technology, and processes quickly
  • Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
  • Strong Excel skills and comfort working with numbers and data
  • Ability to handle confidential client information with discretion
