Job Summary

The Executive Assistant to the Chief Information Officer (CIO) is responsible for providing high-level administrative and organizational support to the CIO while also helping enable the effectiveness of the broader IT leadership team. Primary responsibilities include managing the CIO’s calendar, coordinating meetings and travel, organizing events, managing expenses and administrative follow-up, and ensuring the CIO is well prepared for key meetings, decisions, and commitments.

As the primary administrative resource for the IT organization, the Executive Assistant will also provide appropriate coordination and administrative support to the CIO’s leadership team, including assistance with leadership meetings, team events, travel and scheduling needs, communications, and other activities that require coordination across the organization. The role requires sound judgment in balancing the priorities of the CIO with the broader needs of the IT leadership team.

The successful candidate is highly organized, proactive, resourceful, and comfortable operating in a fast-paced environment where priorities and schedules may change quickly. They anticipate needs, identify opportunities to improve efficiency, and help ensure commitments, actions, and follow-ups are effectively managed. The position requires a high degree of professionalism, trustworthiness, discretion, and judgment, along with the ability to build strong working relationships across all levels of the organization, and a comfort level working with the company’s productivity and collaboration tools. The Executive Assistant demonstrates integrity, accountability, resilience, and patience and consistently upholds BKV’s standards, values, and culture.

Responsibilities
  • Manage the CIO’s calendar, schedule appointments and meetings, and proactively organize and prioritize the CIO’s time across a hybrid work environment and multiple company locations.
  • Serve as the primary point of coordination for the CIO’s schedule and meeting commitments, exercising sound judgment in prioritizing requests, resolving conflicts, and protecting time for the CIO’s highest-priority activities.
  • Coordinate effectively with the CIO through a combination of virtual and in-person interactions, maintaining strong communication and ensuring continuity as the CIO works remotely and travels among company offices.
  • Manage travel arrangements, including flights, hotels, ground transportation, itineraries, and last-minute changes, with an understanding of the CIO’s preferences and business priorities.
  • Coordinate internal and external meetings, including virtual, hybrid, and in-person meetings, ensuring participants, meeting technology, materials, facilities, catering, and other logistics are appropriately addressed.
  • Ensure the CIO is well prepared for meetings and commitments by organizing agendas, presentations, background materials, briefing information, and other relevant documentation.
  • Monitor and help organize communications, correspondence, commitments, and follow-up activities, including drafting or coordinating responses when appropriate.
  • Prepare agendas, capture meeting notes or decisions when requested, maintain action-item lists, and follow up with responsible team members to help ensure commitments are completed.
  • Support the operating rhythm of the IT leadership team, including coordination of leadership meetings, planning sessions, communications, team events, recurring activities, and other matters requiring coordination across the organization.
  • Provide reasonable administrative support to members of the IT leadership team in areas such as travel, expenses, meeting coordination, and other shared administrative needs, while maintaining primary responsibility for supporting the CIO.
  • Prepare and coordinate presentations, spreadsheets, reports, status updates, organizational materials, and other business documents. Strong proficiency in Microsoft PowerPoint, Excel, Outlook, Teams, and related productivity tools is highly desirable.
  • Demonstrate comfort learning and performing technology-related administrative activities appropriate for an IT organization, such as maintaining email distribution groups, assisting with organizational and directory information, managing shared collaboration resources, and performing similar administrative tasks within established company processes and access controls.
  • Be comfortable with conference-room and collaboration technologies and able to initiate or troubleshoot routine meeting setup issues involving Microsoft Teams, displays, audio/video equipment, and related technology, engaging technical support when needed.
  • Look for opportunities to use technology, automation, templates, and improved processes to simplify administrative work, improve communication, and increase the effectiveness of the CIO and IT leadership team.
  • Organize and maintain important files, contracts, presentations, correspondence, and other records in accordance with company information-management and confidentiality requirements.
  • Coordinate invoices and expense reporting and assist in ensuring appropriate approvals and processing occur in a timely manner.
  • Plan and coordinate IT leadership events, meetings, conferences, and team offsites, including approximately two to four off‑site events annually.
  • Handle confidential and sensitive business information with a high degree of discretion, professionalism, and sound judgment.
  • Build effective working relationships with administrative professionals and employees across BKV’s offices and collaborate on company‑wide meetings, events, travel, and other cross‑office initiatives.
  • Partner with other administrative staff to provide reasonable backup and shared support during absences, major company events, or periods of unusually high activity.
  • Perform other duties and special projects as requested by the CIO.

  • Ability to work effectively in a hybrid and geographically distributed environment, maintaining strong communication and coordination with leaders who may be working remotely or across multiple company locations.
  • Demonstrated ability to work independently while also functioning as a collaborative member of the broader IT leadership and administrative teams.
  • Strong proficiency with Microsoft 365 productivity applications, particularly Outlook, Teams, PowerPoint, Excel, and Word, with the ability to create and maintain professional presentations, spreadsheets, reports, schedules, and other business materials.
  • Strong comfort with technology and enthusiasm for learning new digital productivity tools, collaboration platforms, and administrative technologies. The successful candidate should be willing and able to become a proficient user of tools that improve the effectiveness and efficiency of the CIO and IT leadership team.
  • Ability and willingness to learn and perform appropriate technology-related administrative activities, such as maintaining distribution groups, organizational or directory information, shared collaboration resources, and similar administrative functions within established company processes and access controls.
  • Comfort using conference-room, videoconferencing, and collaboration technologies, with the ability to initiate meetings and resolve routine technology issues or engage appropriate technical support when needed.
  • Ability to identify opportunities to improve administrative processes through better use of technology, automation, templates, standardized practices, and digital tools.
  • Demonstrated attention to detail and problem-solving skills, with the ability to recognize issues, identify practical solutions, and determine when escalation is appropriate.

Education & Experience

Required

  • High school diploma or GED required.
  • A minimum of 3 years' experience as an assistant to a senior leader.

Preferred

  • Associate or bachelor’s degree preferred.
  • Previous experience supporting an executive at a publicly traded company is a plus.
Physical Demands and Working Conditions
Location
  • This position is based out of the BKV Office in Denver, CO. This position may be eligible for hybrid work, dependent on weekly priorities and events.
Working Conditions
  • Primarily office-based with standard business hours; extended hours may be required depending on business needs. May occasionally be exposed to distracting noise while sharing office space with others.
