Job summary

A leading aviation services provider is seeking an experienced Executive Assistant to support the C-Suite, including the CEO, CFO, and COO. This role involves managing schedules, coordinating travel, and facilitating communications. The ideal candidate has over 6 years of executive support experience and excellent communication skills. Job description

Support the entire C-Suite which includes the CEO, CFO and COO, and 2 Executive VPs. Skilled in managing multiple tasks, have excellent communication abilities, and demonstrate a strong attention to detail. This role requires a high degree of professionalism and the ability to handle sensitive information with discretion.

Primary Duties and Responsibilities
  • Schedule and manage appointments and meetings.
  • Arrange travel arrangements for all executives.
  • Serve as the primary point of contact for internal and external communications, responding to inquiries and directing them appropriately.
  • Create, edit, and proofread reports, presentations, and correspondence.
  • Organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the planning and execution of special projects and initiatives as needed.
  • Maintain an organized office environment, including managing office supplies and equipment.
  • Works independently and/or within a team at the request of an executive on tasks which may include: planning and coordinating multiple presentations, and compiling/disseminating large volumes of information.
  • Basic financial spreadsheet analyses.
  • Handle sensitive information with discretion and maintain confidentiality at all times.
  • Ability to anticipate needs of CEO, CFO and COO and take initiative to streamline processes.
  • Expense report preparation including receipt management.
  • Liaison between Executive Management and Senior Management/Staff.
  • Correspond regularly with other administrative personnel and department heads.
  • Professionally interact with stakeholders and Board Members as needed.
  • Assists other Executive Management with other daily tasks as directed.

Education and Experience

College Degree in Business Administration or related field preferred.

Minimum 6-8 years’ experience in C-Level Executive support.

Communication Skills
