Riceland Healthcare is looking for a highly organized, proactive, and dependable Executive Assistant to support our Chief Financial Officer (CFO).
This is a key support role for a professional who enjoys working in a fast-paced executive environment, keeping schedules and priorities organized, coordinating with different people, and making sure important details don't fall through the cracks.
As the CFO's Executive Assistant, you will serve as a trusted administrative partner - helping manage the CFO's day-to-day activities, coordinating meetings and communications, preparing documents and presentations, maintaining follow-ups, and supporting special projects when needed.
JOB DESCRIPTION:
1. Executive Support
- Provide day-to-day administrative support to the CFO.
- Manage the CFO's calendar, appointments, meetings, and schedule.
- Coordinate internal and external meetings, including invitations, agendas, rooms, and required materials.
- Manage and organize emails, correspondence, and other communications as appropriate.
- Make travel arrangements and prepare travel itineraries when required.
- Prepare documents, presentations, letters, reports, and other materials for the CFO.
- Ensure the CFO has the necessary information and documents ahead of meetings and appointments.
2. Meeting & Follow-Up Coordination
- Attend meetings with the CFO when required and take clear and accurate meeting minutes.
- Follow up with relevant individuals and departments on outstanding action items.
- Maintain a clear record of pending matters and bring important follow-ups to the CFO's attention.
- Help ensure meetings, commitments, and deadlines remain organized and on schedule.
3. Communication & Coordination
- Coordinate information and requests between the CFO's office and other departments.
- Handle routine communications on behalf of the CFO when appropriate.
- Maintain professional and timely communication with internal and external contacts.
4. Documents, Reports & Presentations
- Prepare and format reports, presentations, spreadsheets, correspondence, and other executive documents.
- Compile information requested by the CFO from different departments.
- Maintain organized electronic and physical files.
- Assist with preparing materials for leadership meetings, presentations, and special assignments.
5. Confidentiality & Professionalism
- Handle confidential financial, employee, corporate, and business information with a high degree of discretion.
- Maintain confidentiality regarding the CFO's schedule, communications, meetings, and sensitive company matters.
6. Special Projects
- Provide administrative support for projects and initiatives assigned by the CFO.
- Conduct basic research and gather information when requested.
- Take on additional administrative responsibilities as needed to support the CFO and executive team.
REQUIREMENTS:
- Associate's or Bachelor's degree in Business Administration, Management, Finance, or a related field preferred.
- 2-4 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, Administrative Coordinator, or similar role.
- Strong proficiency in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.
- Excellent written and verbal communication skills.
