The Role
This isn’t a standard assistant role. As the Executive Assistant to our CEO, you’ll be in lockstep with a fast-moving entrepreneur, managing their schedule, communications, and tasks across multiple businesses. You’ll handle repetitive, detail-oriented work, adapt to frequent software and process changes, and take ownership of keeping the CEO ahead of deadlines and client needs. The right person will not only manage the day-to-day but also become a key partner in scaling our companies.
What You’ll Do
- Executive Support
- Sync with the CEO’s priorities, managing a complex calendar across business and personal commitments
- Anticipate needs before they arise, resolving issues to keep the CEO focused
- Prioritize tasks and communications, deciding what requires the CEO’s attention
- Prepare meeting materials and provide concise background information
- Screen and draft email/call responses in the CEO’s voice
- Client Interaction
- Act as a professional point of contact for high-value clients
- Deliver flawless phone and email communications that uphold our premium standards
- Manage client requests, coordinating with teams and escalating when needed
- Track and follow up on client commitments with minimal supervision
- Build and maintain client relationships as an extension of the CEO
- Communications
- Draft professional correspondence that aligns with the CEO’s tone and intent
- Organize incoming communications, flagging priorities and ensuring timely responses
- Facilitate internal communication between the CEO and teams across businesses
- Maintain organized contact lists and CRM systems (e.g., HubSpot)
- Administrative & Operational Excellence
- Handle confidential information with absolute discretion
- Process expense reports, organize documents, and maintain filing systems
- Arrange complex travel itineraries
- Perform repetitive, detail-oriented tasks efficiently and accurately
- Learn and demo new software frequently, adapting to changing tools and processes
- Manage projects using tools like ClickUp, taking initiative to streamline operations
- Assist with basic bookkeeping, such as reconciliations and bill pay
- Spot opportunities to optimize processes and propose improvements
Who You Are
Experience: 3+ years supporting C-level executives or business owners
Location: U.S.-based (must be available during CST work hours)
Skills:
- Exceptional written and verbal communication for professional correspondence
- Professional phone and email etiquette for client interactions
- Proficiency with Microsoft Office, ClickUp, HubSpot, or similar tools (and are quick to learn)
- Strong organizational skills with meticulous attention to detail
Adaptability: Comfortable with repetitive tasks and frequent software/process changes
Proactivity: You anticipate needs, solve problems independently, and take ownership
Discretion: Trustworthy with sensitive client and business information
Multitasking: Calm under pressure, adept at juggling competing priorities
Availability: Core availability during CST business hours (9 AM - 5 PM preferred)
Preferred:
- Experience in financial services or professional services
- Background supporting complex or multi-business organizations
- Basic bookkeeping skills (e.g., QuickBooks)
- Experience optimizing and documenting company processes
- Bachelor’s degree or equivalent experience

Location & Schedule
