Job summary

AdventHealth in Bolingbrook, IL seeks an executive assistant to support senior leaders and drive strategic initiatives. You will evaluate plans, coordinate with stakeholders, and prepare governance materials to advance clinical quality and outcomes.

Responsibilities include leading planning analytics, ensuring accreditation readiness, and developing staff through coaching and supervision. Strong healthcare domain knowledge and Excel/Office proficiency are required.

Qualifications

  • 1+ year of experience in process improvement and project management.
  • 2+ years of experience in a healthcare area and/or related area.
  • Assistant experience at executive level.
  • Bachelor's degree required.
  • MBA or MHA preferred.
  • Experience with accreditation surveys such as Joint Commission or DNV preferred.

Responsibilities

  • Functions as executive assistant to executive leaders.
  • Evaluates and manages strategic plans, developing priorities and structures for clinical quality and outcomes.
  • Collaborates with internal and external stakeholders to conduct analysis for governance and planning meetings.
  • Presents strategic information and progress to staff and leaders; identifies potential projects.
  • Analyzes performance improvement data to identify quality concerns and improvement areas.
  • Ensures regulatory and accreditation readiness using standards and survey methods.
  • Designs and maintains organizational structure; recruits and supervises staff.
  • Manages performance, coaching, and talent management of the team.
  • Oversees recruitment, scheduling, and education opportunities within the system.
  • Serves as a resource to the multidisciplinary team and conducts educational sessions.
  • Exercises independent decision-making to plan and execute goals.
  • Builds and maintains cross-disciplinary relationships to achieve goals.
  • Other duties as assigned.

Job Responsibilities
  • Functions as executive assistant to executive leaders

  • Evaluates and manages strategic plans, developing priorities, determining structure, and defining approaches for clinical quality and outcomes.

  • Works collaboratively with internal and external stakeholders to conduct analysis and develop key deliverables for governance and planning meetings.

  • Presents strategic information, including analysis of existing initiatives and progress towards completion, to staff and operational leaders. Identifies and proposes potential projects aligned with strategic objectives.

  • Analyzes performance improvement data to identify quality concerns, practice patterns, and areas for process improvement.

  • Utilizes knowledge of standards, survey methodology, and related tools to ensure regulatory and accreditation readiness.

  • Designs, establishes, and maintains organizational structure and staffing to accomplish goals and objectives; recruits, trains, supervises, and evaluates staff.

  • Manages performance, coaching, discipline, engagement, and talent management of the team.

  • Manages recruitment, retention, training, scheduling, and competence of staff; coordinates education opportunities within the system and community.

  • Serves as a resource to the multi-disciplinary team, answering questions and clarifying guidelines; conducts routine section meetings and educational sessions.

  • Exercises independent decision-making to identify, plan, and execute goals; adapts to departmental changes and prioritizes multiple projects.

  • Builds and maintains relationships across multiple disciplines to achieve common goals.

  • Other duties as assigned

Knowledge, Skills, and Abilities
  • Expertise in healthcare systems and quality improvement processes [Required]

  • Excellent interpersonal, writing, verbal, presentation, and communication skills. Ability to portray and characterize complex information effectively [Required]

  • Excellent analytical and organizational skills and the ability to make decisions effectively and quickly [Required]

  • High energy, positive behavior, and the ability to provide superior customer service [Required]

  • Articulate communicator with effective interviewing and facilitation skills necessary to diplomatically guide multiple parties toward mutual strategic goals [Required]

  • Effective computer skills, particularly Microsoft Office (Outlook, Word, Excel) [Required]

Education
  • Bachelor's [Required]

Work Experience

  • Experience with Mind Genius, Visio, and other planning and presentation software [Preferred]

Licenses and Certifications
  • Portfolio Management Professional (PfMP) [Preferred]
