Job summary

Catapult partners with a client to recruit an Executive Assistant for their CEO and leadership team. The role is 100% onsite at their Raleigh home office, with minimal travel and responsibilities spanning calendars, communications, governance support, events, and office operations.

The ideal candidate will be a seasoned professional with strong relationship-building, strategic thinking, and a proactive mindset.

Qualifications

  • 5+ years of experience supporting senior executives or in high-level administrative roles.
  • Advanced proficiency with Microsoft 365 (Excel, Word, Outlook, Teams, OneNote, PowerPoint, SharePoint).
  • Expert-level calendar management using Outlook and coordinating travel.
  • Experience with virtual meeting tech (Teams, Zoom, Webex) incl. scheduling, recording, attendee mgmt, presentations.
  • Experience with SharePoint, OneDrive and electronic file management.
  • Familiarity with Copilot/AI tools and adopting new tech.
  • Strong written and verbal communication, proofreading and professional correspondence.

Responsibilities

  • Work with CEO to align executive priorities and ensure timely completion of strategic commitments.
  • Support Chairman, CFO and senior leaders including GMs and Directors.
  • Manage complex calendars and coordinate Board and leadership meetings.
  • Handle confidential communications with sound judgement.
  • Prepare agendas, notes, reports, and executive-level documents.
  • Organize events, travel arrangements, and conference logistics.
  • Oversee travel program, expenses and vendor relationships.
  • Supervise one administrative report and provide cross-functional support.

Note:At Catapult, we're partnering with our client to identify an exceptional Executive Assistant to join their team.

SUMMARY:

We're seeking a seasoned Executive Assistant with a strong work ethic to add value, providing comprehensive administrative and operational support to the CEO and other executive team members. This trusted role manages executive priorities, confidential communications, governance support, company events, travel, office operations, and selected accounting responsibilities for affiliated companies. You will also provide leadership and support to one direct administrative report.

The ideal candidate is a strong relationship-builder with excellent interpersonal skills, a strategic mindset, and a knack for solving problems while keeping sight of both the big picture and the finer details. Proactive, resourceful, and thrive in dynamic environments, remaining calm under pressure and adapt as priorities shift. RESPONSIBILITIES:
  • Work closely with the CEO to understand Company priorities, to align executive team, and to ensure timely completion of strategic commitments and projects.
  • Provide administrative support to the Chairman and CFO and assist vice presidents and other senior leaders including General Managers and Directors.
  • Manage complex executive calendars, schedule meetings, coordinate logistics for Board and leadership sessions and anticipate preparation and follow-up needs.
  • Handle confidential correspondence, information and communications with sound judgement and professionalism.
  • Answer and route phone calls, take / relay messages, support faxes and communications.
  • Prepare / edit critical correspondence, corporate minutes and executive-level documents.
  • Prepare agendas, take detailed meeting notes, and draft follow-up reports.
  • Prepare expense reports and assist with budget tracking.
  • Maintain organizational charts, calendars, and internal portals.
  • Manage office supply accounts for all offices, manage vendor relationships and monitor purchasing and office supply accounts to support cost efficiency and to optimize costs.
  • Help maintain stocked, orderly, and meeting-ready conference rooms.
  • Organize onsite and offsite company events, functions, and executive travel arrangements.
  • Support HR initiatives, employee appreciation events, and award nominations.
  • Oversee Company's travel program and credit card reconciliation / reporting.
  • Coordinate registration, hotel, and travel for industry conventions and trade shows.
  • Run business errands and provide cross-functional support as needed.
  • Complete any additional assigned projects.
  • Provide leadership and support to one administrative direct report.
  • Minimal travel required.
MINIMUM QUALIFICATIONS:
  • 5+ years of experience supporting senior executives or serving in a high-level administrative role.
  • Advanced proficiency in Microsoft 365 applications, including Excel, Word, Outlook, Teams, One Note, PowerPoint, and SharePoint.
  • Expert-level calendar management utilizing Outlook and coordinating executive travel arrangements.
  • Demonstrable experience with virtual meeting technologies, including Microsoft Teams, Zoom, and Webex, including meeting scheduling, recording, attendee management, and presentation support.
  • Experience using collaboration and document management platforms such as SharePoint, OneDrive and electronic file management systems.
  • Internet navigation skills and research skills.
  • Knowledge of Microsoft Copilot, AI tools, and emerging workplace productivity technologies.
  • Aptitude to learn new technologies and adapt to changing digital platforms and business systems.
  • Experience with expense administration, and confidential executive support.
  • Ability to prepare accurate reports, reconciliations, and supporting documentation.
  • Excellent written and verbal communication, proofreading, and business correspondence skills.
PREFERRED QUALIFICATIONS:
  • Bachelor's degree preferred.
