Qualifications

  • Proficient in Microsoft Office Suite or related software.
  • Strong verbal, written, analytical, interpersonal, and organizational skills and attention to detail.
  • Ability to plan, organize, and prioritize multiple projects to meet deadlines.
  • The MA provider clearance from PA and federal government is essential.

Responsibilities

  • Provide executive-level support to the Executive Director, Leadership Team, and staff.
  • Coordinate meetings, events, and office operations, including scheduling and notes.
  • Serve as liaison between the Executive Director, staff, partners, officials, and the public.
  • Prepare reports, surveys, presentations, and other materials.
  • Manage invoices, reimbursements, purchasing, inventory, and records.
  • Support special projects and organizational initiatives.
  • Maintain accurate files, records, and databases with confidentiality.
  • Design, administer, and analyze organizational surveys with summaries.
  • Demonstrate professionalism while representing the BCIU.
  • Collaborate with the Executive Office and admin team to meet goals.

Position Summary:

The Executive Assistant in the Office of the Executive Director is responsible for providing high-level administrative and secretarial assistance to the Executive Director, Leadership Team, Executive Office team members, and other staff as requested.

Qualifications:

  • College-level coursework in secretarial and administrative office skills or equivalent education or experience required.
  • Three(3) years of administrative secretarial experience providing executive-level support in an educational setting, preferred.
  • Proficient in Microsoft Office Suite or related software.
  • Strong verbal, written, analytical, interpersonal, and organizational skills and attention to detail.
  • Ability to plan, organize, and prioritize multiple projects to meet quick deadlines.
  • The holder of this position could be required as part of his or her duties to engage in activities that can be charged to a Medical Assistance (MA) program. Clearance as a MA provider by both the Commonwealth of Pennsylvania and the federal government is therefore an essential qualification for this position.

Job Responsibilities (see attached job description for additional details):

  • Provide executive-level administrative support to the Executive Director, including calendar management, correspondence, document preparation, and confidential communications.
  • Coordinate meetings, events, and office operations, including scheduling, logistics, meeting materials, and recording meeting notes.
  • Serve as a liaison between the Executive Director, staff, community partners, elected officials, and the public, ensuring professional and responsive communication.
  • Prepare reports, surveys, presentations, and other materials by gathering, analyzing, and summarizing information.
  • Manage office financial and administrative processes, including invoices, reimbursements, memberships, purchasing, inventory, and records management.
  • Support special projects and organizational initiatives, including superintendent searches, employee recognition programs, Right-to-Know requests, and directory management.
  • Maintain accurate files, records, and databases while ensuring confidentiality and efficient information access.
  • Design, administer, and analyze organizational surveys and provide data-driven summaries and recommendations.
  • Demonstrate exceptional customer service, professionalism, and organizational knowledge while representing the Berks County Intermediate Unit.
  • Collaborate with Executive Office and administrative team members to support organizational goals and other assigned responsibilities

Schedule:

Non-Exempt, Full-time, Twelve months/year (260 days).


Salary:
Salary range is $51,288 to $69,268 (commensurate on experience)as established by the Intermediate Unit Board of Directors per the Compensation and Benefits Plan for Leadership Team, SRI 9.
