A dynamic strategy consulting firm is seeking an experienced Executive Assistant/Office Manager to join its team. In this pivotal role, you’ll provide high-level support to senior executives while ensuring the seamless operation of the office. This is an exciting opportunity for a proactive, resourceful professional who thrives in an entrepreneurial environment and enjoys wearing many hats. Responsibilities

  • Deliver high-level administrative support to senior executives and ensure seamless operations for the organization.
  • Manage complex, dynamic calendars with a proactive and strategic approach.
  • Process expenses and generate financial reports.
  • Orchestrate meetings and conferences, both in-person and virtually, handling every detail from agendas to catering and AV setups.
  • Coordinate comprehensive travel plans, including itineraries, flights, accommodations, and local transport.
  • Handle internal and external correspondence with professionalism, promptness, and strict confidentiality.
  • Take ownership of ad hoc projects, research, and tasks with a flexible, can-do attitude.
  • Assist with personal requests as needed; appointments, travel, errands, etc.
  • Manage the office operations, including reception, greeting, and guiding guests and visitors in a warm and welcoming manner.
  • Provide initial IT troubleshooting and assist with new hire onboarding and ensure desk setups are optimized for productivity.
  • Act as the primary liaison with building management, fostering strong vendor relationships.
  • Coordinate internal events and team-building activities.
  • Manage employee and client recognition efforts.
  • Assist in sourcing and sending client gifts to enhance relationship management.
  • Support new hire onboarding in coordination with external HR/payroll vendors.
  • Assist with client account management, including invoicing and categorization of expenses.
  • Help establish and maintain an approved vendor list (in collaboration with junior finance staff, if applicable).
  • Support Learning & Development initiatives and talent management programs.
  • Assist with deployment/resource management efforts, ensuring optimal allocation of staff across projects.

Ideal Experience

  • Bachelor’s degree required with 3-5 years of executive support experience.
  • Must have professional services industry experience.
  • Proficient in Microsoft Office Suite. Comfortable working in QuickBooks.
  • Proactive, resourceful, self-sufficient, and able to work independently and collaboratively.
  • Strong sense of urgency and the ability to multitask efficiently.
  • Polished demeanor and communication skills.
  • Team-oriented, positive, and energetic.
