Job summary

The Larko Group is seeking an experienced Office Manager / Executive Assistant to support the CEO and run the office in Chicago. You will balance welcoming the workplace with proactive executive support to keep the CEO focused on top priorities.

In this role you will manage calendars, coordinate travel, handle logistics, onboard new hires, and maintain a professional, confidential environment for candidates, clients, and staff. This hybrid-startup environment rewards organization and discretion.

Qualifications

  • 5+ years in office management, executive assistance, or combined role in startup or professional services.

Responsibilities

  • Own day-to-day office operations: space, supplies, vendors, mail, food, equipment.
  • Plan and execute team events, offsites, celebrations, and company traditions.
  • Run onboarding logistics for new hires: desk, accounts, equipment, and a warm landing.
  • Serve as the face of the office for visitors, candidates, and clients.
  • Manage office budget, vendor relationships, and facilities end-to-end.
  • Own the CEO's calendar: scheduling, prioritization, and protecting time.
  • Coordinate travel, itineraries, expenses, and reimbursements.
  • Prepare for meetings: agendas, materials, follow-ups, and action items.
  • Draft and manage routine correspondence with discretion; handle confidential information.
  • Take on special projects and see them through.

Job description

This is a highly visible, dual-purpose role that serves as the operational heartbeat of the office and a trusted partner to the CEO. You'll divide your time between creating a welcoming workplace experience and providing proactive executive support that enables the CEO to focus on the company's highest priorities.

As the Office Manager, you'll oversee the day-to-day operations of the physical workspace, ensuring everything runs efficiently and that the office remains a place where people enjoy coming to work. As Executive Assistant to the CEO, you'll expertly manage calendars, travel, logistics, and follow-through, anticipating needs and keeping priorities moving forward.

You'll often be the first impression for candidates, clients, and new employees, while serving as a go-to resource for the entire team. Your professionalism, organization, and attention to detail will help shape the experience of everyone who walks through the door and set the tone for how the office operates every day.

  • Draft and manage routine correspondence with discretion; you'll regularly handle confidential information.
  • Take on special projects that don't fit neatly anywhere else and see them through.
Ideal Experience
  • 5+ years as an office manager, executive assistant, or in a combined role, ideally in a fast-moving startup or professional services environment.
  • A high bar for how things look, feel, and run. You notice what's off before anyone else does.
  • Warmth and judgment in equal measure; people trust you quickly, and you know what to keep confidential.
  • Ruthless organization: you manage competing priorities without dropping anything.
  • Fluency with modern tools (Google Workspace, Slack, expense and travel platforms) and the instinct to adopt better ones.
  • A builder's mindset. There's no playbook here; you’ll write it.
