Qualifications

  • 3+ years of experience as an Executive Assistant supporting C-level or senior executives.
  • Experience in office management or administrative operations is a strong asset.
  • Basic familiarity with corporate social media use and digital communications workflows.
  • Proficient with Canva, Hootsuite, or equivalent content management platforms.
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication; able to work independently with discretion.

Responsibilities

  • Oversee day-to-day office operations and vendor relationships.
  • Manage office budgets and expense reporting in coordination with Finance, while also supporting accounting and billing activities.
  • Organize team meetings, events, and all-hands communications.
  • Coordinate administrative components of sponsorship deals, including timelines, deliverables, content/assets, and partner communications.
  • Manage complex calendars, meeting coordination, and travel arrangements (domestic and international).
  • Prepare, review, and organize documents for meetings, presentations, and decisions.
  • Draft, proofread, and manage executive correspondence and reports.
  • Provide for the needs of Cruise executives and proactively manage priorities and follow-ups.
  • Coordinate board and leadership team meetings, including agenda prep, minutes, and logistics.
  • Support execution of social media and content strategies developed by the communications team.
  • Work with operations and field teams to gather and organize timely content.
  • Upload and schedule approved posts across relevant platforms.
  • Collaborate with communications to maintain brand consistency in tone and visuals.
  • Track basic engagement metrics and provide insights to the team.
  • Other duties as assigned.

Job description

The Executive Assistant will provide high-level support to Cruise Division senior leadership while ensuring smooth daily operations of the Cruise Division's Main office. This role requires a self-starter who excels at managing schedules, communications, and logistics for executive leadership, with the capability to oversee

administrative functions across the broader team and office environment. This role will also support basic social media and content coordination and assist in administering key deliverables tied to sponsorship agreements, ensuring alignment with both internal stakeholders and external partners.

Essential Responsibilities:
  • Oversee day-to-day office operations and vendor relationships (supplies, maintenance, IT coordination, etc.).
  • Manage office budgets and expense reporting in coordination with Finance, while also supporting accounting and billing activities.
  • Organize team meetings, events, and all-hands communications.
  • Ensure the office environment is efficient, professional, and well-equipped.
  • Support onboarding and orientation for new staff.
  • Coordinate administrative components of sponsorship deals, including managing timelines, tracking deliverables, gathering content/assets, and communicating with partners and internal teams.
  • Manage complex calendars, meeting coordination, and travel arrangements (domestic and international).
  • Prepare, review, and organize documents for meetings, presentations, and decision‑making.
  • Handle confidential and time‑sensitive information with professionalism and discretion.
  • Draft, proofread, and manage executive correspondence and reports.
  • Provide for the needs of Cruise executive(s) and proactively manage priorities and follow‑ups.
  • Serve as a liaison between executive leadership and internal/external stakeholders and shared services.
  • Coordinate board and leadership team meetings, including agenda prep, minutes, and logistics.
  • Support execution of social media and content strategies developed by the communications team.
  • Work with operations and field teams to gather and organize timely content (photos, updates, highlights).
  • Upload and schedule approved posts across relevant platforms.
  • Collaborate closely with communications and leadership to maintain brand consistency in tone and visuals.
  • Track basic engagement metrics and provide insights to the team.
  • Other duties as assigned.

  • Ability to work independently, manage competing priorities, and handle confidential matters with integrity.

Work environment:
  • Required job duties are performed in a professional office environment.
  • The noise level in the work environment is occasional.

Salary Range:$70,000-85,000 per year

The posted compensation range is based on the applicable geographic market for the position and may vary depending on factors such as related experience and skill set. Final compensation will be determined based on these items and other relevant factors.
