Jones Networking is recruiting for an Executive Assistant & Communications Administrator to join a thriving association management company in Charlotte, NC. - Provide day-to-day administrative assistance to the President, including calendar coordination, note-taking, and meeting logistics.
- Prepare for and support onsite logistics at board meetings and client events.
- Accurately record and distribute professional meeting minutes in a timely manner.
- Draft and distribute member communications, newsletters, and announcements using tools such as Constant Contact or Real Magnet.
- Update and maintain website content via WordPress (no coding required).
- Manage contact lists, email distribution schedules, and communication records.
- Maintain accurate member data, including registrations and renewals, within the association management system (NetForum).
- Compile and track membership statistics and event participation data for reporting.
- Provide general office support and assist with file management for assigned clients.
- Serve as a backup for other Member Services Associates as needed.
- Attend client meetings and events, providing onsite support as required.
Executive Assistant & Communications Administrator Requirements :
- Strong education and experience in administrative, association, or non-profit roles preferred.
- Proficiency with Microsoft Office365 (Outlook, Excel, SharePoint, Teams).
- Experience with web, basic design and email systems (WordPress, Constant Contact, Real Magnet, Canva).
- Familiarity with database management; NetForum experience a plus.
- Self-motivated, proactive, and eager to learn.
- Strong organizational and prioritization skills with sharp attention to detail.
- Excellent written and verbal communication skills.
- Ability to collaborate in a team environment and manage time effectively.
- Comfortable standing or walking for extended periods at events.
- Capable of performing under pressure and managing multiple tasks.
- Flexible and resourceful, especially in fast-paced environments.
- Willingness to travel locally for client meetings and events.
