Job summary

Incendia Partners is seeking an experienced Executive Assistant in Newton, MA to partner with senior leaders in a fast-paced biotech setting. This role emphasizes confidential support, calendar management, travel logistics, and preparation of executive materials to enable leadership to focus on strategic priorities.

Candidates should bring 4+ years of EA experience in biotech or pharma, strong communication, and a proactive, organized approach.

Qualifications

  • 4+ years of Executive Assistant experience, ideally within biotechnology or pharmaceutical organizations.
  • Experience supporting senior Medical, Clinical, Scientific, R&D, or other C-suite leaders.
  • Background in a fast-paced, highly confidential, and compliance-sensitive environment.
  • Strong project coordination skills and the ability to manage multiple priorities without losing the details.
  • Excellent written and verbal communication skills.
  • Polished, proactive, highly organized, and comfortable working with senior-level stakeholders.
  • Bachelor’s degree preferred, or equivalent professional experience.
  • Experience within a publicly traded biotech or pharmaceutical company is a plus.

Responsibilities

  • Provide high-level administrative and operational support to multiple senior executives and their leadership teams.
  • Manage complex calendars, competing priorities, and meetings across multiple time zones.
  • Coordinate domestic and international travel, itineraries, expenses, and logistics.
  • Prepare presentations, reports, agendas, meeting materials, and executive communications.
  • Support leadership, board, clinical, medical, and company-wide meetings.
  • Coordinate logistics surrounding medical and scientific conferences.
  • Serve as a key liaison between executives and internal and external stakeholders.
  • Track action items, deadlines, and follow-up to keep priorities moving forward.
  • Handle sensitive information and confidential documentation with exceptional discretion.
  • Partner with administrative colleagues across the organization on broader initiatives and projects.
  • Help improve processes and create efficiencies as the company continues to grow.

This is an exciting opportunity for a skilled Executive Assistant to become a true partner to a group of senior leaders. You’ll work in a fast-moving environment where priorities shift quickly, the work is highly confidential, and your ability to anticipate needs and keep things moving will make a real impact.

This is much more than calendar management. You’ll be at the center of a highly collaborative organization, working across teams and helping senior leaders stay focused on the work that matters most.

What You’ll Do

What They’re Looking For
