Job summary

The Center for the Study of the Presidency and Congress (CSPC) seeks an Executive Assistant and Operations Manager to provide high-level administrative support to the President and CEO, manage the executive schedule, support financial tasks, and coordinate Board meetings. The role also covers office management, events, and internal communications.

The successful candidate will be a positive self-starter with maturity, discretion, integrity, and strong interpersonal skills.

Responsibilities

  • Serve as assistant to the President/CEO and manage the calendar and travel schedule.
  • Assist with fundraising, drafting and tracking correspondence and receipts of funds.
  • Maintain check ledger, attend cashflow meetings, and deposit checks.
  • Prepare agendas and materials for staff and internal meetings.
  • Manage main email and voicemail as a first point of contact.
  • Support communications for external audiences.
  • Support planning and execution of CSPC events and internal meetings.
  • Manage production and release of CSPC's newsletter, Dispatch.
  • Organize and maintain CSPC's contact database.
  • Respond to trustee inquiries and manage Board relations.
  • Maintain office procedures and routine maintenance tasks.
  • Provide project support to senior staff.

Job description

The Executive Assistant and Operations Manager serves as the primary administrative support to the President and CEO, overseeing the executive schedule, supporting financial and administrative functions, and coordinating meetings of the Board of Trustees. In addition to providing high-level executive support, this position plays an integral role in ensuring the efficient day-to-day operations of CSPC, including office management, event and meeting support, and other administrative functions.

We are seeking a positive, enthusiastic self-starter who brings energy and enthusiasm to the role, with the ability to work comfortably with a broad range of people within and outside the Center. The ideal candidate demonstrates a high level of maturity, professionalism, poise, and excellent judgment; the ability to manage sensitive organizational information with discretion; impeccable integrity; and a strong work ethic and interpersonal skills.

The Center for the Study of the Presidency and Congress (CSPC) is a non-partisan convener of leaders and experts from the government, private sector, and academia that works to foster bipartisan solutions to our nation's most pressing challenges, often with a national security focus. The Center's approach focuses on research, convening, and leadership development across our program areas.

Executive and Administrative Support (~50%)
  • Serve as assistant to the President/CEO;
  • Manage the President/CEO's calendar and travel schedule, including scheduling and communicating appointments;
  • Assist the President/CEO with fundraising, including drafting and tracking correspondence and receipt of funds;
  • Perform tasks related to correspondence, filing, and general office administrative support;
  • Maintain the organization's check ledger, attend monthly cashflow meetings, and deposit checks as received;
  • Prepare agendas and materials for staff meetings and other internal gatherings;
  • Manage the organization's main email address and voicemail, serving as a first point of contact for individuals seeking to connect with CSPC;
  • Support the President/CEO and other staff in the drafting and development of announcements, project reports, and other communications for external audiences.
Events Support (~15%)
  • Support the planning and execution of select CSPC program events and internal meetings, including coordinating, scheduling, and logistics.
Newsletter & Database Management (15%)
  • Manage the production and release of CSPC's bimonthly digital newsletter, The Dispatch;
  • Work closely with CSPC's Senior Vice President and Director of policy to schedule and coordinate Dispatch submissions;
  • Organize and maintain CSPC's contact database, ensuring accuracy of records and proper dissemination of the newsletter, event invites, and other email communications to the appropriate audience.
Board Relations (~10%)
  • Respond to trustee inquiries and requests and help manage relations between the Board and CSPC;
  • Collaborate with the President/CEO and Board Secretary to develop agendas for and organize and distribute relevant materials for quarterly Board meetings and committee meetings;
  • Maintain expertise on CSPC Board policies and procedures.
Office Management and Program Support (~10%)
  • Maintain the office environment, including ordering kitchen and office supplies, keeping shared spaces organized, and coordinating routine maintenance tasks;
  • Establish and maintain effective office procedures and standard operating practices to ensure the office is well maintained, administrative tasks are handled efficiently, and day-to-day operations run smoothly;
  • Provide project support to senior staff as needed.
Required Qualifications
  • Bachelor's Degree;
  • Excellent organizational skills with an attention to detail;
  • Ability to multitask, juggling multiple projects with tight deadlines in a team environment;
  • Exceptional written and verbal communications skills;
  • Ability to anticipate needs and proactively address gaps and propose solutions;
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint;
Preferred Qualifications:
  • One to three years of professional experience providing programmatic and/or administrative support;
  • Working knowledge of AI productivity tools, particularly Claude, with demonstrated ability to apply them to drafting, research, and document preparation.
  • Experience working with an organization in the non-profit, government or academic sectors;
  • Proficiency with database or contact management systems;
  • Familiarity with Washington's policy landscape;
  • Experience with event logistics or coordination;

Salary Range: $50,000 - $57,000
