Job summary

Easterseals Southwest Florida is seeking an experienced Executive Assistant to the CEO & President to provide comprehensive administrative support and strategic project coordination. The role involves managing calendars, travel, and communications with senior leaders, donors, and the board.

You will work closely with the executive team to support day-to-day operations, plan events, and drive efficient organizational processes while maintaining confidentiality and professionalism.

Qualifications

  • College degree or equivalent work experience.
  • 5 years’ experience in a similar role, preferably with a nonprofit organization.
  • Experience with written communications at a professional level.

Responsibilities

  • Manage the CEO & President’s calendar, appointments, and travel arrangements, ensuring efficient use of limited time.
  • Assist in development and execution of strategic or capital plans, monitor progress, and ensure deadlines are met.
  • Serve as a trusted liaison between the CEO & President and internal/external stakeholders with confidentiality.
  • Schedule, prepare agendas for, and attend regular meetings with senior leaders to align efforts.
  • Conduct research, gather data, and prepare material for meetings and projects.
  • Handle inquiries for the CEO & President’s office and route as needed.
  • Prepare and review presentations and reports for the CEO & President.
  • Draft, edit, and proofread correspondence on behalf of the CEO & President.
  • Coordinate events including board meetings, retreats, and fundraisers.
  • Manage special projects and initiatives assigned by the CEO & President.

Summary

Provide comprehensive, essential support to the CEO & President to enable effective organizational leadership. Responsible for the day-to-day operations of the office, sophisticated management of the calendar, and high-level administrative support, effective execution of special projects, and seamless planning and coordination of Board of Directors’ activities.

Qualifications
Education

College degree or equivalent work experience.

Experience
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
  • Five years’ experience in a similar role, preferably with a nonprofit organization.
  • Experience with written communications at a professional level.
  • Experience working with Senior Level Management, nonprofit board of directors, and donors (Preferred).
  • Knowledge of Raiser's Edge or CRM desirable.

  • Schedule, prepare agendas for, and attend regular meetings where senior leaders keep each other informed about their work, discuss the coordination and integration of work across departments, and address critical issues affecting the organization.
  • Conduct research, gather data, and prepare background materials for meetings, presentations, and projects.
  • Manage incoming inquiries at the CEO & President’s office, directing them to appropriate channels or responding independently as needed.
  • Prepare and review presentations and reports for the CEO & President.
  • Draft, edit, and proofread correspondence and other communications on behalf of the CEO & President.
  • As directed by the CEO & President, coordinate or assist in the planning, organizing, and execution of events, including board meetings, retreats, and fundraisers.
  • Manage special projects and initiatives assigned by the CEO & President.
  • Comply with organization policies and procedures, utilizing the highest standards of personal and professional ethics and behavior.
  • Demonstrate good judgment, diplomacy, and courtesy. and effective communication when representing the organization.
  • Other duties as assigned.
