Base pay range

$95,000.00/yr - $110,000.00/yr

Executive Assistant (Fluent in Japanese)

Location: Onsite | San Jose, CA

Schedule: Monday–Friday, 8:00 AM – 5:00 PM

Salary: $95-110K or more DOE PLUS a 10% BONUS

A prestigious, globally recognized company is conducting a confidential search for a highly skilled Executive Assistant fluent in Japanese and English to support the CEO and senior leadership team. This is a critical, onsite position in San Jose, CA, offering the opportunity to work in a dynamic and cross-cultural environment.

Position Overview:

The Executive Assistant will provide high-level administrative and operational support to executive leadership, including managing calendars, coordinating travel, handling confidential materials, and assisting with internal and external communications. The role requires exceptional attention to detail, strong organizational abilities, and the ability to work seamlessly across time zones with global stakeholders.

Key Responsibilities:

  • Provide direct administrative support to the CEO and senior executives
  • Manage complex calendars, schedule meetings, and prepare agendas
  • Coordinate international and domestic travel logistics and accommodations
  • Track and manage executive expenses; prepare and process detailed reports
  • Anticipate executive needs and proactively identify solutions
  • Handle highly confidential and sensitive information with discretion
  • Coordinate company meetings, internal events, and leadership team communications
  • Maintain and update organizational charts and documentation
  • Support expat benefit programs, including health benefits and relocation-related expenses for Japanese executives
  • Manage issuance and cancellation of corporate credit cards for senior leadership
  • Collaborate with cross-functional teams including HR, Finance, and global stakeholders
  • Prepare materials for executive discussions and corporate meetings


Qualifications:

  • 5+ years of experience as an Executive Assistant or in a senior administrative role
  • Fluency in Japanese and English (both verbal and written) is required
  • Excellent organizational and time-management skills; able to handle multiple priorities
  • Proven ability to maintain confidentiality and professionalism
  • Strong interpersonal skills and the ability to interact with individuals at all levels
  • Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with travel booking platforms and expense management tools
  • Ability to adapt to changes and work independently under pressure
  • Bachelor’s degree in Business Administration, Communications, or related field preferred
  • Additional certifications in executive support are a plus
