Executive Assistant to the Executive Team
Location: Remote (MST strongly preferred; ideal candidates are based in Whitefish, Kalispell, or Missoula, MT)
Job Type: Part-Time (with potential to grow into Full-Time)

We are a fast-growing creative agency built on the energy of high-impact storytelling, tight deadlines, and world-class client partnerships. As we expand, we are looking for an exceptional Executive Assistant to support our Chief Marketing Officer and President—someone who thrives in fast-paced environments, is relentlessly organized, and understands the rhythm of work-life integration at the executive level.
This is not just a support role—it’s a high-trust partnership. You’ll be the right hand to two key executives, helping ensure that each day is optimized before it even begins. Your core responsibility is to drive proactive calendar management, coordinate across priorities, and create time where there is none. From coordinating meetings to chasing conflicts and managing travel and personal commitments, you’ll ensure the CMO and President are in sync and able to operate at their highest level.
·Proactively manage and align daily schedules for the CMO and President, ensuring each day is conflict-free and fully optimized before 9:00 AM MST
·Act as a driver, not just support—owning schedule flow, anticipating conflicts, and managing all follow-ups, reschedules, and time blocks
·Keep both professional and personal calendars fully integrated, including family, travel, downtime, and recovery needs
·Coordinate internal and external meetings, client engagements, creative deadlines, and team syncs, ensuring no overlap or missed opportunities
·Prepare early morning daily briefings and agendas to align both executives on what's ahead
·Chase down loose ends and ensure all tasks, action items, and responses are accounted for in Asana
·Serve as the communication liaison between executives and internal/external stakeholders
·Book travel, coordinate logistics, and manage personal errands and to-dos when needed
·Maintain confidentiality and discretion in handling sensitive personal and business matters
·Bring clarity and calm to the chaos of a growing agency—especially when timelines compress or priorities shift
·2+ years experience as an Executive Assistant, Project Coordinator, or Operations Lead in a fast-paced business or creative environment
·Mastery of calendar management tools (Google Calendar), project management platforms (Asana), and communication tools (Slack, Gmail)
·Exceptional time management and prioritization skills
·Unwavering attention to detail and a deep understanding of how to protect and create executive time
·Comfortable working with early-morning check-ins to ensure schedules are set and running smoothly
·Self-starter with a proactive mindset—always planning ahead, not reacting
·Excellent written and verbal communication skills
·Proven ability to maintain discretion and confidentiality
·Based in MST time zone with strong preference for candidates in Whitefish, Kalispell, or Missoula, Montana
·Experience supporting multiple executives simultaneously
·Familiarity with agency or startup cultures where priorities shift quickly
·A calm, grounded, resourceful presence—especially under pressure
·Ability to balance strategic thinking with task-level execution
