Overview

We’re seeking a proactive, ultra-organized, and emotionally intelligent Executive Assistant (EA) to support our CEO. This is a high-trust, high-impact role designed for someone who thrives on being the right hand to a visionary leader. Preferably, this position will work 7 AM PST-5 PM PST. You will be the gatekeeper, air traffic controller, and strategic sounding board — enabling the CEO to operate at their highest level while staying grounded in the details.

This role is approximately:

  • 50% Inbox & Communication Management
  • 20% Calendar & Scheduling
  • 10% Travel Delegation & “Traffic Management”

Key Responsibilities

1-Inbox & Communication Management (50%)

  • Monitor and manage the CEO’s inbox with high responsiveness and discretion.
  • Draft, proofread, and send communications on behalf of the CEO (clients, sales, partners, and internal).
  • Prioritize emails and flag actionable items; ensure nothing falls through the cracks.
  • Triage requests, gather context, and route them to the right team member when appropriate.
  • Coordinate with travel partners and external stakeholders to support ongoing relationships and opportunities.

2-Calendar & Schedule Optimization (20%)

  • Own and maintain the CEO’s calendar—ensuring clear priorities, minimal conflicts, and breathing room.
  • Schedule internal/external meetings, calls, and strategy sessions across time zones.
  • Anticipate scheduling needs and adjust as necessary with agility and poise.
  • Build rapport with internal team members and key external partners to facilitate smooth communication and collaboration.
  • Serve as the CEO’s proxy in internal follow-ups, helping reinforce priorities and expectations.
  • Prepare agendas, take notes, and track follow-through for team meetings and leadership huddles.
  • Manage thoughtful client outreach, including thank-you gifts, holiday cards, or milestone notes.

4-Delegation & Travel Advisory Traffic Management (10%)

  • Act as a delegation hub between the CEO and internal departments, ensuring clear handoffs and accountability.
  • Assign tasks with context and clarity—ensuring each has a clear owner and deadline.
  • Track deliverables across the org and follow up to ensure timely execution.
  • Coordinate travel planning handoffs to the appropriate advisor or team member.

5-Special Projects & Strategic Support (as needed)

  • Take ownership of special projects that require coordination, research, and execution.
  • Provide behind-the-scenes support on key client engagements, partnerships, or events.

Qualifications

  • 3+ years in an Executive Assistant, Chief of Staff, or high-level support role.
  • Excellent written and verbal communication skills—clear, warm, and polished.
  • Highly organized with strong time management and follow-through.
  • Strong discretion, emotional intelligence, and judgment.
  • Ability to operate independently while juggling multiple high-priority tasks.
  • Experience using Google Workspace, Slack, Zoom, and project management tools like Asana or Notion.
  • Background in a startup, high-growth, or remote-first company is a plus.
