Executive Assistant
We are currently seeking an Executive Assistant in our Washington, D.C. office. Executive Assistant duties and responsibilities include providing administrative support to top level principals, supporting principals through a variety of tasks related to organization and communication, and handling confidential and time-sensitive material.
Essential Duties and Responsibilities
- Manage complex executive calendars and prioritize competing commitments, coordinating meetings, calls, events, and appointments with internal and external stakeholders.
- Coordinate all meeting logistics, including scheduling, calendar invitations, RSVP management, room reservations, technology setup, materials preparation, and guest reception.
- Serve as a primary point of contact for executives, clients, visitors, congressional offices, and other key stakeholders, maintaining professional relationships and handling communications with discretion.
- Prepare executives and principals for internal and external meetings by gathering, compiling, and reviewing briefing materials and logistical information.
- Manage domestic and international travel arrangements, including itineraries, transportation, accommodations, visas (as applicable), and travel briefing materials.
- Coordinate and support client fly-ins, congressional meetings, and other high-profile events and engagements.
- Draft, produce, distribute, and track internal and external correspondence on behalf of principals and executives.
- Assist with the preparation and execution of recurring client calls, meetings, presentations, and special events.
- Ensure proposals, engagement letters, and related client materials are accurate, complete, and distributed in a timely manner.
- Maintain and manage executive, client, and stakeholder contact databases and distribution lists.
- Track correspondence and support compliance reporting requirements, including LDA and FARA filings.
- Monitor congressional activity, legislation, and stakeholder information using subscription-based research platforms such as Bloomberg Government, Politico, Leadership Connect, and National Journal.
- Connect principals to scheduled calls and proactively flag high-priority communications and action items.
- Prepare, submit, reconcile, and monitor expense reports, invoices, and client billing documentation.
- Handle sensitive and confidential information with the highest level of professionalism and discretion.
- Provide general administrative support, including filing, document preparation, copying, scanning, binding, courier coordination, and other office operations.
- Coordinate conference calls, meeting rooms, transportation, hotels, and other logistical requirements as needed.
- Support visitors and guests by ensuring a professional and seamless experience.
- Manage multiple projects simultaneously, demonstrating strong organizational skills, attention to detail, and the ability to meet deadlines.
Required and Preferred Qualifications
- 3+ years of experience as an executive assistant or high-level administrative assistant is required.
- Hill, law firm and/or professional services experience highly preferred.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in MS Office, Outlook, Zoom, and other applications.
- Willing to work paid overtime hours when needed.
Compensation and Benefits
Brownstein Hyatt Farber Schreck offers a benefits package that includes medical, dental, vision, 401(k) + match and vacation/sick/personal time off. We are offering a wide range of salary for this role that is commensurate with experience from $75,000 – $95,000.
