Job summary

United Health Services (UHS) seeks an experienced Executive Assistant to provide comprehensive administrative and technical support to the Vice President of Clinical Services. Reporting directly to the VP, this role ensures efficient day-to-day operations within Surgical Services Administration, UHS Hospitals, located in New York’s Southern Tier.

The ideal candidate will handle confidential duties with discretion, manage complex calendars, prepare minutes, and coordinate travel.

Qualifications

  • Minimum an Associate degree in Administrative Support or related field with at least 3 years of executive-level experience.
  • Or 5 years of administrative support experience to senior leadership.
  • Bachelor’s degree in Healthcare Administration or Communications.
  • Notary Public certification preferred.

Responsibilities

  • Manage executive-level communications, ensuring timely and professional responses.
  • Coordinate and maintain complex executive calendars, scheduling meetings and appointments.
  • Process and track expenses, invoices, and related financial documentation.
  • Screen calls, control office access, and prioritize requests and issues.
  • Prepare meeting agendas, materials, and detailed minutes as needed.
  • Arrange travel logistics for leadership.

Position OverviewUnited Health Services (UHS) is seeking an experienced Executive Assistant to provide comprehensive administrative and technical support to the Vice President of Clinical Services. Reporting directly to the VP, this role plays a critical part in supporting the leadership and operations of the Clinical Services division.The Executive Assistant is responsible for managing a wide range of complex, highly confidential administrative tasks and ensuring efficient day-to-day operations. The ideal candidate is proactive, detail-oriented, and able to work independently while effectively managing executive communications.This individual will demonstrate professionalism, sound judgment, and discretion, along with strong written, verbal, and interpersonal communication skills. Proficiency in budget coordination and the Microsoft Office Suite is essential.
