Position Overview
Energy Transition Capital (ETC) is seeking an exceptionally capable, highly polished, and experienced Executive Assistant to provide sophisticated executive and organizational support within a fast-paced, high-performance investment and energy infrastructure environment.
This is not a traditional administrative support role. We are seeking a career Executive Assistant operating at the highest level—someone who has supported senior executives, founders, principals, and/or ultra-high-net-worth individuals in complex, demanding environments and understands the judgment, discretion, responsiveness, and resilience required to succeed in such a role.
The ideal candidate is extraordinarily organized, resourceful, composed under pressure, and able to anticipate needs before they arise. This individual must be comfortable managing competing priorities, frequent changes, sensitive information, complex personalities, and situations where expectations are exceptionally high.
Strong communication and follow-through are equally important, as the individual must be able to manage multiple forms of communication simultaneously, including email, Slack, text messages, WhatsApp, phone calls, and other platforms.
The Executive Assistant will work across the organization and with a wide range of internal and external stakeholders. The role requires someone who can seamlessly move between executive scheduling, travel and logistics, meeting preparation, communications, project coordination, and highly confidential matters while maintaining impeccable attention to detail.
Professional fluency in both English and Spanish is required.
Key Responsibilities
Executive Support & Calendar Management
- Manage complex and frequently changing calendars, including internal and external meetings, calls, travel, business commitments, and other priorities.
- Exercise strong judgment in determining scheduling priorities, resolving conflicts, and protecting executive time.
- Anticipate scheduling challenges and proactively identify solutions rather than waiting for direction.
- Coordinate across multiple executives, employees, advisors, investors, consultants, government officials, business partners, and other external stakeholders.
- Ensure executives are appropriately prepared for meetings with relevant materials, background information, agendas, logistics, and context.
- Maintain an exceptional level of accuracy across calendars, invitations, locations, time zones, attendees, and meeting details.
Travel & Logistics
- Coordinate complex domestic and international travel, accommodations, ground transportation, reservations, itineraries, and last-minute changes.
- Prepare comprehensive and accurate travel itineraries and ensure all logistics are confirmed in advance.
- Manage travel disruptions calmly and quickly, including cancellations, delays, itinerary changes, and evolving executive schedules.
- Coordinate business travel involving Puerto Rico and other key markets as required.
- Remain attentive to time zones, travel requirements, preferences, and logistical details at all times.
Communications & Stakeholder Coordination
- Serve as a professional and highly polished point of contact with senior executives, investors, advisors, attorneys, government officials, consultants, vendors, and other important stakeholders.
- Draft, review, and coordinate professional correspondence, meeting invitations, scheduling communications, and follow-up materials.
- Communicate confidently and professionally in both English and Spanish.
- Handle sensitive and confidential communications with exceptional discretion.
- Understand the appropriate tone, level of formality, and urgency required when interacting with different stakeholders.
Meeting & Executive Preparation
- Prepare executives for meetings by assembling agendas, briefing materials, biographies, background information, presentations, and other relevant materials.
- Track meeting-related action items and follow up proactively to ensure commitments and next steps are completed.
- Anticipate what information or materials will be needed rather than relying on detailed instructions.
- Maintain awareness of executive priorities and upcoming commitments to ensure appropriate preparation.
Administrative & Organizational Support
- Manage expense reports, invoices, reimbursements, documentation, records, and other administrative matters with a high degree of accuracy.
- Maintain organized electronic files and confidential records.
- Assist with presentations, documents, spreadsheets, reports, and other executive materials.
- Coordinate special projects and ad hoc requests across the organization.
- Develop systems and processes that improve executive organization and efficiency.
- Identify problems, gaps, or potential conflicts and address them proactively.
Confidential & High-Sensitivity Matters
- Handle highly confidential business and personal information with absolute discretion.
- Exercise mature judgment regarding what information should be shared, with whom, and when.
- Maintain appropriate professional boundaries while becoming deeply familiar with executive preferences, priorities, and working styles.
- Represent the organization professionally in sensitive or high-stakes situations.
Qualifications & Experience
Required
- 7–10+ years of progressively responsible Executive Assistant experience, with substantial experience supporting C-suite executives, founders, principals, family offices, private investment firms, or ultra-high-net-worth individuals.
- Demonstrated prior experience working directly with ultra-high-net-worth individuals and/or principals in a private office, family office, investment firm, or similarly demanding environment.
- Demonstrates exceptional ownership, accountability, and follow-through by providing timely updates thrthrough completion.
- Professional fluency in English and Spanish, both written and spoken, is required.
- Proven ability to manage extremely complex calendars and executive schedules involving multiple stakeholders, locations, and time zones.
- Significant experience coordinating sophisticated domestic and international travel.
- Exceptional written and verbal communication skills.
- Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and related business technology.
- Experience handling highly sensitive, confidential, and privileged information.
- Demonstrated ability to operate successfully in an environment characterized by urgency, ambiguity, changing priorities, and exceptionally high expectations.

Given the nature of executive support, the successful candidate must maintain a high level of availability and responsiveness, including outside of conventional business hours when necessary. This may include evenings, weekends, and holidays when time-sensitive or urgent matters arise. The individual must be comfortable exercising sound judgment around urgency, responding promptly when needed, and ensuring important matters are carried through to resolution.
