Job description

Coquí Power is seeking an exceptionally capable, highly polished, and experienced Executive Assistant based in Puerto Rico.

This is a senior-level Executive Assistant position requiring exceptional judgment, discretion, resourcefulness, organization, and resilience. We are seeking a career Executive Assistant who has operated at the highest levels and is accustomed to supporting senior executives, founders, principals, ultra-high-net-worth individuals, and/or other highly demanding stakeholders.

The ideal candidate is someone who thrives in a fast-moving, entrepreneurial environment where priorities can change quickly and expectations are exceptionally high. This individual must be able to anticipate needs, solve problems independently, manage competing priorities, and remain calm and professional under pressure.

The position will provide sophisticated executive and organizational support across Coquí Power's activities in Puerto Rico and will regularly interact with senior business leaders, government and public-sector stakeholders, attorneys, advisors, consultants, investors, project partners, and other external parties.

Strong communication and follow-through are equally important, as the individual must be able to manage multiple forms of communication simultaneously, including email, Slack, text messages, WhatsApp, phone calls, and other platforms.

The successful candidate must have exceptional knowledge of Puerto Rico and the ability to navigate the island professionally and resourcefully. They should know how to get things done, whom to call, how to solve logistical challenges, and how to operate effectively within Puerto Rico's business and professional environment.

Professional fluency in both English and Spanish, written and spoken, is required.

Key Responsibilities
Executive & Calendar Management
  • Manage complex and frequently changing executive calendars, including internal meetings, external meetings, calls, travel, events, and other commitments.
  • Coordinate scheduling across Puerto Rico, the continental United States, and other locations and time zones, as necessary.
  • Exercise strong judgment in prioritizing meetings, resolving scheduling conflicts, and protecting executive time.
  • Anticipate scheduling needs and potential conflicts and proactively develop solutions.
  • Coordinate with senior executives, employees, advisors, attorneys, government officials, business leaders, consultants, project partners, and other stakeholders.
  • Ensure calendars and invitations are consistently accurate, including attendees, locations, dial-in information, addresses, time zones, and supporting materials.
  • Maintain awareness of executive priorities and ensure schedules appropriately reflect those priorities.
  • Serve as a highly resourceful on-the-ground point of coordination for executive activities in Puerto Rico.
  • Coordinate meetings, transportation, restaurants, venues, events, office arrangements, and other executive logistics throughout the island.
  • Support visiting ETC executives, employees, advisors, investors, and business partners while they are in Puerto Rico.
  • Develop detailed schedules and itineraries for executive visits to Puerto Rico.
  • Coordinate drivers, transportation, accommodations, reservations, and other local arrangements as required.
  • Anticipate logistical issues and resolve them quickly and independently.
  • Maintain a strong working knowledge of Puerto Rico's geography, business centers, government offices, airports, hotels, restaurants, and other locations relevant to executive activities.
  • Build and maintain a reliable network of local vendors, service providers, and resources.
Travel Management
  • Coordinate sophisticated domestic and international travel, including commercial and, where applicable, private aviation.
  • Arrange flights, accommodations, ground transportation, reservations, itineraries, and other travel requirements.
  • Prepare comprehensive travel itineraries and ensure all arrangements are confirmed and accurate.
  • Manage last-minute travel changes, delays, cancellations, and evolving executive schedules calmly and efficiently.
  • Coordinate travel between Puerto Rico and the continental United States, as well as other domestic and international destinations.
  • Anticipate executive preferences and logistical requirements without requiring repeated direction.
Communications & Stakeholder Coordination
  • Serve as a polished and professional point of contact for senior executives, government officials, attorneys, advisors, investors, consultants, vendors, and business partners.
  • Communicate professionally and confidently in both English and Spanish.
  • Draft and coordinate professional correspondence, scheduling communications, invitations, follow-ups, and other executive communications.
  • Exercise appropriate judgment regarding tone, urgency, confidentiality, and level of formality depending on the audience.
  • Handle sensitive communications and information with absolute discretion.
  • Assist with communications and coordination involving Puerto Rico-based stakeholders across the public and private sectors.
Meeting & Executive Preparation
  • Ensure executives are thoroughly prepared for meetings and engagements.
  • Assemble agendas, briefing materials, biographies, presentations, background information, directions, logistics, and other relevant materials.
  • Conduct appropriate background research and gather information in advance of meetings when requested.
  • Maintain awareness of upcoming commitments and proactively identify preparation requirements.
  • Track action items, commitments, introductions, and follow-ups arising from meetings.
  • Proactively follow up with internal and external parties to ensure next steps are completed.
Administrative & Organizational Support
  • Manage expense reports, invoices, reimbursements, documentation, records, and other administrative matters accurately and efficiently.
  • Maintain organized electronic files and highly confidential records.
  • Assist with presentations, documents, spreadsheets, reports, and executive materials.
  • Coordinate special projects and ad hoc requests.
  • Establish and maintain systems that improve executive organization and efficiency.
  • Identify administrative or logistical gaps and take ownership of resolving them.
  • Work collaboratively with other administrative and operational team members across ETC and Coquí Power.
Confidential & High-Sensitivity Matters
  • Handle highly confidential business, financial, personnel, and potentially personal information with absolute discretion.
  • Exercise mature judgment regarding sensitive information and communications.
  • Maintain appropriate professional boundaries while becoming deeply familiar with executive preferences, priorities, and working styles.
  • Represent ETC and Coquí Power professionally in sensitive and high-stakes situations.
  • Demonstrate exceptional integrity and reliability at all times.
Qualifications & Experience
Required
  • 3-5+ years of progressively responsible Executive Assistant experience, including substantial experience supporting C-suite executives, founders, principals, family offices, private investment firms, ultra-high-net-worth individuals, or similarly senior and demanding stakeholders.
  • Demonstrated experience supporting ultra-high-net-worth individuals, principals, founders, or senior executives in a sophisticated, high-expectation environment.
  • Current residence in Puerto Rico and the ability to work on the ground in Puerto Rico as required.
  • Professional fluency in English and Spanish, both written and spoken, is required.
  • Exceptional familiarity with Puerto Rico and the ability to independently navigate local business, professional, and logistical matters.
  • Proven experience managing complex executive calendars involving multiple stakeholders and rapidly changing priorities.
  • Significant experience coordinating sophisticated domestic and international travel.
  • Exceptional written and verbal communication skills in both English and Spanish.
  • Experience handling highly sensitive and confidential information.
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and related business technology.
  • Demonstrated ability to perform effectively in an environment characterized by urgency, ambiguity, direct communication, changing priorities, and exceptionally high expectations.

  • Government, public affairs, or other stakeholder-intensive environments in Puerto Rico
  • Professional services organizations with sophisticated executive clientele
  • Roles requiring substantial executive travel and logistics coordination

Established professional familiarity with Puerto Rico's business community and experience interacting with senior public- and private-sector stakeholders are strongly preferred.
