Executive Assistant

As an Executive Assistant, you will play a pivotal role supporting executive leaders in the Go To Market (GTM) Organization, for their direct administrative needs. You’ll collaborate with various stakeholders, including management, employees, and external partners.

A Day in the Life of the EA - About the Role:

We are looking for an Executive Assistant to support our Global Industries leader and our VP of Professional Services for their direct administrative needs, and light support of key leaders across GTM.

  • Provide full support for a complex calendar schedule that needs to appreciate nuances of time zones and travel schedules for a high volume of physical and virtual meetings and frequent domestic and international travel.
  • Take accurate, effective notes for key meetings or video recordings, capture action items, and ensure these actions are assigned to the right individuals and timelines. You need to be comfortable with technology vocabulary, as we will use a lot of acronyms and some of our meetings/notes will need to reflect these acronyms.
  • Schedule and facilitate logistics for key meetings, such as staff meetings, 1x1s, Board meetings, Quarterly Business Reviews, Sales Kickoffs, and Budget and Talent Reviews, and/or ensure content is prepared in a timely fashion by department leaders and socialized as needed ahead of the meeting with key stakeholders.
  • Handle submissions, approvals, and follow up on expense reimbursements and time sheets
  • Collaborate with Executive Assistants of other executives on cross-team backup support and broader company initiatives, such as departmental events, employee team-building activities, and off-site meetings and dinners.
  • Willingness to be “on-call” during periods of Executive travel to assist when issues arise.

Required Qualifications - About you:

  • Excellent communication skills. This is about being a good listener, having a comfort with asking clarifying questions when needed, as well as being good at articulating your response in a respectful, clear way as our culture demands.
  • Excellent organizational skills. A key reason we need this role is to help us remain organized, and that requires you to take notes on things that require follow-up, as well as follow up on those things until their conclusion. This naturally implies an ability to work independently.
  • Trustworthiness. You will be privy to sensitive discussions and confidential information, and it is important that you respect this trust placed in you with a high degree of discretion.
  • Advanced skills with Technology. This involves using Microsoft Office, as we can train you to use some specific tools we use internally like Workday, SFDC and reporting.
