Qualifications

  • Bachelor’s degree or equivalent professional experience considered in lieu of a degree.
  • Minimum of five (5) years of executive administrative experience supporting C-suite or senior leadership.
  • Proven drafting and editing of executive-level correspondence and presentation materials.

Responsibilities

  • Serve as the primary point of contact for internal and external constituencies on matters pertaining to the designated executive, exercising judgment on what requires attention and what can be redirected or resolved independently.
  • Manage inbound communication flow across email, phone, and messaging platforms; triage and prioritize by urgency and revenue impact, draft responses for approval, and ensure nothing of consequence goes unanswered.
  • Communicate clearly and diplomatically with C-suite peers, internal partners, external partners, and board contacts, adapting tone and formality while maintaining professionalism.
  • Own and optimize the designated executive's calendar across multiple time zones; protect time for strategic work, client engagement, and pipeline reviews.
  • Coordinate complex domestic and international travel including itineraries, ground transport, accommodations, visas, and detailed briefing packets.
  • Process and reconcile expense reports, corporate card activity, and vendor invoices accurately and on schedule.
  • Manage the operating cadence of the designated functional area from agenda development through follow-up; capture decisions and track owners/due dates.
  • Coordinate cross-functional initiatives and special projects sponsored by the executive, keeping timelines and stakeholders aligned.
  • Host clients, partners, and executive guests with poise, manage logistics for visits and briefings, and maintain executive-level contact records.

Executive Assistant

Full Location: Norristown - US

The Executive Assistant is a senior-level, high-visibility, role serving as the operational and communications right hand to the designated executive. This position requires a polished professional who can represent the designated executive and the organization with credibility in front of clients, prospects, partners, board members, and internal leadership. The role goes well beyond calendar and travel management. The Executive Assistant anticipates needs, protects the designated executive’s time against a demanding workload and company cadence, drafts and edits executive-level correspondence, coordinates the operating rhythm of the organization, and ensures that commitments made in meetings are tracked through to completion. Sound judgment, absolute discretion, and exceptional verbal and written communication skills are the defining requirements of this position.

In This Role You Will
Executive Communication and Correspondence
  • Serve as the primary point of contact for internal and external constituencies on matters pertaining to the designated executive, exercising judgment on what requires the executive's attention, what can be redirected, and what can be resolved independently.
  • Manage inbound communication flow across email, phone, and messaging platforms; triage and prioritize by urgency and revenue impact, draft responses for approval, and ensure nothing of consequence goes unanswered.
  • Communicate clearly and diplomatically with C-suite peers, internal partners, external partners, and board contacts — adapting tone and level of formality to the audience while maintaining a consistently professional standard.
Calendar, Travel, and Time Management
  • Own and optimize the designated executive's calendar across multiple time zones, resolving competing priorities and protecting time for strategic work, client engagement, and pipeline reviews.
  • Coordinate complex domestic and international travel including itineraries, ground transportation, accommodations, visas, and detailed daily briefing packets; adjust in real time when plans change.
  • Process and reconcile expense reports, corporate card activity, and vendor invoices accurately and on schedule.
Functional Area Operations and Meeting Management
  • Manage the operating cadence of the designated functional area of the organization — including forecast calls, pipeline reviews, quarterly business reviews, sales kickoffs, and leadership staff meetings — from agenda development through follow-up.
  • Capture decisions and action items in clear, concise written summaries; track owners and due dates, and follow up persistently until items are closed.
  • Coordinate cross-functional initiatives and special projects sponsored by the designated executive, keeping timelines, deliverables, and stakeholders aligned.
Client, Partner, and Stakeholder Engagement
  • Host clients, partners, and executive guests with poise and professionalism, managing all logistics for remote/on-site visits, executive briefings, and hospitality.
  • Maintain accurate executive-level contact records and support timely, appropriate follow-up with company leadership and strategic relationships.
  • Act as a liaison between the designated executive and internal departments, external stakeholders, and board-level contacts, representing the office with consistent professionalism.

  • Handle highly sensitive information — including compensation, commission plans, personnel matters, forecasts, pricing, contract terms, and pre-announcement business developments — with complete discretion at all times.
  • Exercise independent judgment in the designated executive's absence, making decisions within established authority and escalating appropriately.
  • Anticipate needs and risks proactively, identifying conflicts, gaps, and issues before they escal ate and proposing practical solutions.

We Are Looking For Someone Who Has
  • A Bachelor’s degree in Business Administration, Communications, or a related discipline. Equivalent professional experience will be considered in lieu of a degree.
  • Minimum of five (5) years of executive administrative experience directly supporting C-suite or senior executive leadership.
  • Demonstrated excellence in verbal and written communication, including drafting and editing executive-level correspondence and presentation materials.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams; comfort with collaboration and scheduling tools.
  • Proven ability to manage complex calendars and multi-leg travel across time zones.
  • Demonstrated track record of handling confidential information with discretion.
  • Strong organizational skills with meticulous attention to detail and accuracy.
  • Flexibility to accommodate occasional off-hours and time-zone-driven requests, and to travel as required.
  • Prior experience in the BPO/Service organization
