Job summary

At NASCAR, an Executive Assistant provides high-level executive and administrative support to assigned executives, based in Charlotte, North Carolina. The role focuses on calendar management, travel coordination, travel logistics, confidential handling, and producing executive materials.

  • A proactive, solutions-oriented mindset with the ability to work independently and exercise sound judgment.
  • High level of professionalism, discretion, and confidentiality when handling sensitive information.
  • Demonstrated ability to build strong relationships and communicate effectively with senior leaders, internal teams, and external stakeholders.

Responsibilities

  • Manage executive calendars, priorities, meetings, and commitments to maximize time and efficiency.
  • Draft, edit, and prepare correspondence, presentations, reports, and other executive materials.
  • Handle highly confidential information with professionalism and discretion.
  • Prioritize and manage communications, responding, redirecting, or escalating as appropriate.
  • Coordinate all executive travel, including flights, accommodations, transportation, visas, and required documentation.
  • Prepare detailed travel itineraries, meeting agendas, and supporting materials.
  • Prepare and reconcile expense reports in accordance with company policy.
  • Research and compile information to support executive decisions and meeting preparation.
  • Coordinate communication between executives and internal and external stakeholders, serving as a trusted liaison across the organization.
  • Attend meetings, capture key decisions and action items, and track follow-through.
  • Lead or support special projects, initiatives, and events.
  • Maintain organized files, records, and documentation in compliance with retention guidelines.
  • Anticipate executive needs and proactively resolve issues to keep priorities moving.
  • Represent assigned executives and NASCAR with professionalism, tact, and sound judgment.
  • Stay informed on company initiatives, policies, and industry trends to provide proactive support.
  • Assist with occasional personal matters while maintaining professionalism and confidentiality.
  • Partner with administrative staff to ensure seamless office operations and backup support.
