NASCAR is seeking an experienced Executive Assistant in Charlotte to support senior executives, manage calendars, coordinate travel, and prepare materials for meetings. The role requires professionalism, discretion, and the ability to handle confidential information with tact.

  • Manage executive calendars, priorities, meetings, and commitments to maximize time and efficiency.
  • Draft, edit, and prepare correspondence, presentations, reports, and other executive materials.
  • Handle highly confidential information with professionalism and discretion.
  • Prioritize and manage communications, responding, redirecting, or escalating as appropriate.
  • Coordinate all executive travel, including flights, accommodations, transportation, visas, and required documentation.
  • Prepare detailed travel itineraries, meeting agendas, and supporting materials.
  • Prepare and reconcile expense reports in accordance with company policy.
  • Research and compile information to support executive decisions and meeting preparation.
  • Coordinate communication between executives and internal and external stakeholders, serving as a trusted liaison across the organization.
  • Attend meetings, capture key decisions and action items, and track follow-through.
  • Lead or support special projects, initiatives, and events.
  • Maintain organized files, records, and documentation in compliance with retention guidelines.
  • Anticipate executive needs and proactively resolve issues to keep priorities moving.
  • Represent assigned executives and NASCAR with professionalism, tact, and sound judgment.
  • Stay informed on company initiatives, policies, and industry trends to provide proactive support.
  • Assist with occasional personal matters while maintaining professionalism and confidentiality.
  • Partner with administrative staff to ensure seamless office operations and backup support.

What You’ll Bring
  • Associate’s degree and 4+ years of experience supporting executives, preferably within the sports, entertainment, or marketing industry, or an equivalent combination of education and experience.
  • Excellent written and verbal communication skills with strong attention to detail and accuracy.

  • A proactive, solutions-oriented mindset with the ability to work independently and exercise sound judgment.
